Summary: The Clerk, Personnel Records, will perform responsible, diversified clerical duties in the operation of a personnel office or department, dealing with overall employee records. DISTRICT EXPECTATIONS: All district employees must: • Demonstrate regular and predictable attendance. Responsibilities: • Retrieves, reviews, and redacts employee records in response to public records requests from various agencies as required to remain in compliance with Florida Statutes. • Extracts requested data accurately and completes forms for employees as requested from a variety of government, public, and private entities. • Responds to experience verification requests from education institutions and/or other employers. • Coordinates with other departments or divisions to prepare employee records related to subpoenas. • Prepares employee records for archiving. • Verifies employee service and maintains employee history files. • Performs other clerical duties of a personnel nature (study and/or research personnel reports and records, coordinate official personnel transactions, and maintain official personnel data information and files). • Uses a computer terminal to inquire about employee information. • Responds to personnel inquiries by phone, email, mail, or in person. • Maintains log of all phone calls and inquiries. • Uses computerized equipment and performs basic computer skills such as keyboarding. • Performs any other duties as assigned. Experience: Two (2) years of increasingly responsible experience in general clerical duties. Language Skills: Reads and comprehends simple instructions, short correspondence, and memos. Writes simple correspondence. Effectively presents information in one-on-one and small group situations. Mathematical Skills: Adds, subtracts, multiplies, and divides in all units of measure, using whole numbers, common fractions, and decimals. Computes rate, ratio, and percent and draws and interprets bar graphs. Reasoning Ability: Applies understanding to carry out detailed but uninvolved written or oral instructions. Deals with problems involving a few concrete variables in standardized situations. Computer Skills: Microsoft Office. PHYSICAL DEMANDS: Physical Activities: Standing, walking, sitting, handling, keyboarding, talking, and hearing. Lifting Demands: Up to 10 pounds.
