Job DetailsJob LocationNY Wallstreet Office - New York, NYPosition TypeFull TimeEducation Level4 Year DegreeSalary Range$65,000.00 - $75,000.00 Job CategoryFinanceThe Client Service Associate will be a key member of the team, providing support through a variety of tasks related to organization and communication. In addition, you will provide minimal support to the office as outlined below. You will deal with a diverse group of important external contacts as well as internal colleagues at all levels of the firm. Independent judgment is required to plan, prioritize and organize your diversified workload.Primary Responsibilities:As an Associate your responsibilities would include the following responsibilities:
  • Answer phone, screen, and redirect calls (as needed, see below for office)
  • Scheduling and upkeep of calendar
  • Attend internal meetings, take notes and provide follow up
  • Work independently and within a team, acting as project manager for special projects
  • Assist the needs of team members and help by resolving operational and administrative issues
  • Keep teams organized to make sure all tasks are done to completion
  • Ensure marketing list is up to date and prepared for quarterly marketing meetings
  • Ensure managers are meeting with clients consistently by using the Meeting Frequency Report
  • Meeting Prep/ Meeting Follow Up
    • Meeting Prep - schedule meetings, log in Salesforce, submit any requests to OP and IT for anything needed prior to meeting
    • Meeting Follow Up - scan, save and process all notes and paperwork from meeting, provide updates in Salesforce Client Meeting object until closed
  • Manage and update Salesforce
    • Create clients and update client information in Salesforce (as needed)
    • Manage Team queues and tasks
  • Assist with coordinating client onboarding, including client agreements, account opening/transfer and money movements
  • Coordinating DocuSigns, saving files and keeping client files organized, liaising with tax teams and tax data organization, upkeep of client investment files and capital calls
  • Book travel and make other arrangements
  • Prepare and modify documents including correspondence, reports, cover letters and meeting books
  • Provide general administrative support including mailing, FedEx, messengers, scanning, faxing and copying
  • Maintain Excel worksheets for specific client tracking - ex. client travel costs
  • Personal tasks as needed
  • Act as backup for Office Administrative Assistant as needed
    • Greet and direct all visitors, general administrative and clerical support
    • Answer teams phones
    • Take mail to Post Office / Fed Ex/ UPS at the end of the day
  • Team Enterprise tasks for office as needed
Qualifications:
  • Bachelor's degree preferred but not required
  • 1-2+ years of experience preferred
  • Team player who welcomes feedback with the goal of continuous improvement
  • Detail-oriented with strong verbal and written communication skills, professional presentation, and organizational skills
  • Attitude that no task is too small and a willingness to do whatever tasks are necessary to make sure that the work is done on time
  • Proficiency in technology/applications a must - experience with eMoney, Salesforce and Excel preferred
