DUTIES & RESPONSIBILITIES:

  • Be the first point of contact for clients and visitors alike: welcome and assist clients, directing them to the appropriate advisor, and answering phone calls as needed.
  • Reconcile daily price and transaction downloads from the custodian to the client reporting database, troubleshooting discrepancies to ensure accuracy.
  • Coordinate with custodians and external partners (CPAs, attorneys, banks, etc) to handle client paperwork, including account openings, transfers, and ongoing account maintenance.
  • Record and update client information in the CRM database.
  • Assist with Quarterly Client Reporting distribution and mailings.
  • Retain client statements in compliance with regulatory requirements.
  • Oversee and complete general office administration tasks, including vendor contact and supply orders (everyone pitches in).
  • Maintain various tracking and compliance spreadsheets.
  • Provide miscellaneous support to the financial planning team, including CE registration, data entry, and creating bulk mailings.

QUALIFICATIONS:

  • Minimum of 2-4 years of experience in the financial services industry is preferred, wealth management or custodial experience is a plus.
  • Strong organizational skills and attention to detail.
  • Proficiency in Microsoft Office programs; experience with Dynamics CRM is a plus.
  • Ability to learn and adapt to new software quickly and effectively.
  • Capable of working independently and producing high-quality results.
  • Experience managing and ensuring the integrity of electronic documents and software information.
