Job Description :

Figment Design, a full-service marketing agency located in Miramar, Florida, is seeking a motivated and detail-oriented Client Services Coordinator to join our dynamic group of creative minds. This individual will play a critical role in managing client accounts, with a focus on quoting, presenting, and coordinating branding for clients, and efficiently managing project workflows. The ideal candidate is highly organized, an exceptional communicator, and a proactive problem solver, with proven experience in client relationship management, project management systems, and Excel within fast-paced environments.

Key Responsibilities:

Client Relationship Management:

  • Serve as a point of contact for assigned client(s), ensuring their needs and expectations are consistently met or exceeded.
  • Cultivate strong, trust-based relationships with clients and stakeholders, anticipating and addressing their needs proactively.
  • Help create and deliver timely project updates, clearly outline deliverables, and maintain open communication on timelines.

Project Coordination and Trafficking:

  • Manage the end-to-end sales, branding, and marketing efforts for client events high expectation for ensuring creative consistency and high-quality execution.
  • Support the development and delivery of proposals and quotes for themed events, including all elements of clients marketing and promotional programs.
  • Help craft compelling presentations to upsell services, particularly within the cruise industry.
  • Overseeing trafficking of multiple concurrent projects, ensuring all tasks are completed accurately, on time, and within budget.
  • Collaborate with creative, production, and digital teams to optimize resource allocation and prioritize deliverables.
  • Local and out of town site inspections to ships.
  • Time Tracking

Communication and Client Relations:

  • Serve as the primary point of contact for clients throughout each project's lifecycle.
  • Provide regular updates to clients on project status, timelines, and any relevant developments.
  • Address client inquiries, concerns, and feedback promptly and professionally.

Strategic Planning and Execution:

  • Partner with clients to develop branding and marketing strategies that align with their objectives.
  • Prepare detailed project scopes, timelines, and budgets, ensuring strict adherence and proactive management of changes.
  • Identify potential challenges early and implement solutions to mitigate risks effectively.

Quality Assurance:

  • Review all creative outputs to ensure alignment with client branding guidelines and agency standards.
  • Conduct thorough quality checks at every project stage to eliminate errors and deliver consistent excellence.

Qualifications and Skills:

  • Bachelor's degree in Logistics, Project Management or related supply chain management, Business Administration, or a related field or relative job experience of at least five years.
  • Proven experience in planning, project management role, preferably within the advertising or creative industry.
  • Strong analytical and problem-solving skills.
  • Excellent organizational and project management abilities.
  • Effective communication and interpersonal skills.
  • Proficient in project management software and tools.
  • Ability to thrive in a fast-paced and dynamic work environment.

Vendor Management:

  • Identify and liaise with external vendors for specialized materials or services required for projects.
  • Negotiate contracts and agreements with vendors to ensure cost-effective and high-quality services.
  • Monitor vendor performance and address any issues that may arise during the project.

Experience and Expertise:

  • 5 years of account management experience preferred in an advertising or marketing agency, preferably within the travel or hospitality industry.
  • Demonstrated proficiency in project management systems such as Asana, Trello, or similar platforms.
  • Advanced Excel skills for budgeting, reporting, and tracking purposes.

This role reports onsite to our office in Miramar, Florida.
