Lighthouse Guild is a leading organization dedicated to providing exceptional services that inspire people who are visually impaired to attain their goals. We provide coordinated care for eye health, vision rehabilitation and behavioral health as well as related services. The successful candidate will work in our Behavioral Health Center and Diagnostic & Treatment Center. Qualifications: Bachelor's degree from accredited institution, preferably in Healthcare related field; or relevant commensurate experience. Strong interpersonal, written and oral communication skills; proven ability to communicate with diverse populations. Experience with electronic medical record system and billing systems. Certified Medical Manager (CMM) designation from the Professional Association of Health Care Office Management (PAHOM) is preferred. At least five years of medical office management experience is required, including administrative staff supervision. Intermediate-level skills in Microsoft Suite products (Word, Excel, Outlook). Familiarity with Electronic Medical Record systems. eClinical Works experience preferred. Experience working in Call Center Strong knowledge of billing and coding. Works well independently and has strong operational skills. Excels at customer service and has strong interpersonal skills. Develops strong relationships with coworkers and has strong leadership skills. Communicates effectively and has strong verbal and written communication skills. Experience supervising staff in a union environment a plus. Collaborates with nurses, social workers, and doctors. Fluent in Spanish Days/Hours: 9:00AM-5:00PM. The nature of this position may, at times, require longer hours and weekend work. Position Summary: The Clinic Manager must be a critical thinker and creative problem solver with strong organizational and excellent communication skills. Must also be a team player, supporting the goals and objectives of the organization through efficient supervision of support staff and medical providers. As a Clinic Manager, your primary job is to make sure the practice is running smoothly, by timely addressing staff and operational issues, conducting regular performance reviews, ensuring that the facility is clean and that equipment is in working order. Knowledge of the laws that govern the operation of behavioral health and medical clinics-- federal, state and municipal -- is essential to ensure the practice is operating legally. This includes such matters as confidentiality and proper storage of information for patients, health and safety regulations and equipment maintenance. Responsibilities: Oversees daily office operation of Behavioral Health Clinic and Medical Clinic. Supervises, trains, and evaluates administrative staff. Establishes staff schedules and allocation of staff. Trains and rotates office staff through various office duties to ensure cross coverage in all job areas. Sets priorities and organizes assignments. Assesses administrative staff performance. Conducts hiring interviews. Monitors and oversees the collection and entry of financial/billing information for new and registered patients. Monitors the verification of insurances (Medicaid, Medicare, commercial) to ensure active benefits. Oversees Call Center, analyzes statistics and trends. Obtains medication and service authorizations. Coordinates activities with Finance to ensure accuracy and timeliness of billing. Evaluates performance, recommends work and time off schedules and personnel actions, including progressive discipline when appropriate. Responsible for maintaining confidentiality of patients protected health information. Assists providers with translation as necessary. Covers front desk/reception as necessary. Sets/manages private fees per sliding scale. Ensures receptionists answer telephone in a timely and polite manner, preferably within three rings. Communicates with customers in a courteous, professional, cooperative manner. Supervises voucher system in clinics re the NY State Commission for the Blind. Oversees daily deposits and ensures batch reports/encounters are sent to the Finance Department accurately, and timely. Conducts office staff meetings regularly. Oversees inventory and ordering of office supplies. Protects patient confidentiality per policies and procedures. Runs error reports and makes corrections as needed, Accurately reconciles charges for the day. Completes work/repair orders in a timely manner. Coordinates and prepares office and staff for potential weather-related disasters. Manages/delegates medical record requests from outside sources. Follows company policy and procedures for medical record release of information. Works with Senior Management to develop, implement, and monitor programs. May be required to perform the duties of other employees, including supervisors/managers, in their absence. Performs other duties as required. We offer a very competitive salary and benefit package.
