Job Purpose:The Clinic Scheduler is responsible for coordinating with multiple departments, physicians, and facilities to provide timely access to specialty care. The Clinic Scheduler coordinates all clinic visits along with all outpatient procedures at Island Hospital to include diagnostic testing, outside referral management, including the care provided in the clinic setting. Duties:
  • Coordinates and schedules all clinic visits and outpatient procedures; including the detailed completion of orders and requests to include pre-certifications for diagnostic testing as required.
  • Counsels patients on hospital registration, diagnostic and procedure prep instructions, pre- and post-procedure instructions and answering general pre- and post-procedure questions.
  • Manages Physician's work schedule to coordinate with procedure schedule, diagnostic imaging and clinic schedule.
  • Responsible for entering all scheduled procedures into the clinic scheduling systems including changes and additions to the procedure schedule.
  • Reviews clinical chart for accuracy; requests and obtains any additional outside diagnostic studies prior to patient appointment. Requests office insurance authorizations if required.
  • Processes patient recall in a timely manner to include recall notification for patient, scheduling upcoming clinic appointments, testing and/or procedures.
  • Answers and directs all incoming clinic phone calls, checks voicemail and fax for messages.,
  • Warmly greets and registers patients for clinic visits, verifying insurance, demographic information and updating as needed.
  • Receives cash and insurance payments, prepares deposits and daily income summaries.
  • Prepare patient charts for appointments ensuring accurate and complete information is ready for patient's visit.
  • May perform additional duties within position scope to support efficient operations within the Clinic
  • Ensures strict adherence to confidentiality policies and HIPAA guidelines.
  • Complies with the Hospital's Compliance Program including but not limited to, the Code of Conduct, laws and regulations, and hospital policies and procedures.
Skills/Qualifications:
  • Excellent written and verbal skills; must communicate effectively with individuals from multiple disciplines.
  • Must demonstrate a strong attention to detail, accuracy and thoroughness.
  • Strong computer skills are necessary.
  • Working knowledge of Microsoft Office applications and previous experience using an Electronic Health Record.
Requirements:
  • Minimum of one (1) year of related medical front office experience required.
Work Environment: While performing the duties of this position, the employee is exposed to inside environmental conditions, protected from weather conditions but not necessarily from temperature changes. The employee may be exposed to dust, pollens, pollutants, fumes and communicable diseases as related to a health care environment. The noise level in the work environment is usually moderate.Physical Demands:While performing the responsibilities of this position, the employee is regularly required to talk, and have hearing sufficient to understand conversations, both in person and on the telephone. The employee is often required to sit for potentially long periods of time throughout the workday. Manual dexterity of hands and fingers, to handle or feel and to manipulate keys on a keyboard. The employee is occasionally required to stand; walk, climb or balance; stoop, kneel, or crouch; lift and/or move up to 25 pounds and use hands to finger, handle, or feel objects, tools, or controls, and reach with hands and arm. Vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and ability to adjust focus sufficient to operate computer systems.
