Job DescriptionResponsible for the ongoing daily operational issues of a patient care unit. Provides administrative support to the Director. Leads or participates in planning, directing, and implementing projects. Coordinates and monitors payroll, schedules, and nonclinical systems. TECHNICAL TASKS Coordinates staffing schedules within unit specific guidelines. Assesses upcoming short-term unit staffing needs. Coordinates with and visits central staffing office on a daily basis. Coordinates administrative, clerical and ancillary activities on the units. Assists in staff payroll according to existing payroll practices and procedures. Provides administrative support to the Director, i.e., tracking various projects, organizes and maintains office environment. Establishes and maintains filing system for correspondence and administrative documents and materials. Maintains and updates employee education/competency files. Updates and maintains the integrity of manuals and communicates any changes to staff. Assist with processes for ANSOS applications-position control, tracking absenteeism, staff vacation, LOA, etc. Ensures that equipment is safe and in proper working condition in coordination with other departments; maintains adequate levels of administrative and unit supplies. Maintains unit compliance with the fire and safe standards. Coordinates staff meetings and takes minutes as requested. CRITICAL THINKING Produces, maintains and manages relevant databases and promotes security of information. Contributes to the development of policies, procedures and systems which assure the effective functioning of the unit. Negotiating with other hospital departments regarding minor operational problems Addresses minor process glitches (making sure unit phones work, work orders completeness) Prepares monthly budget and productivity spreadsheets. Prepares and collects data, number-crunching for unit-level action plans; assists with development of action plans when appropriate. Collects performance improvement, risk management, or regulatory data. INTERPERSONAL RELATIONS Demonstrates strong verbal, interpersonal and conflict resolution skills.
