This position plays a key role in program planning, member engagement, and ensuring smooth execution of racquet sports events, including tennis and pickleball tournaments, social mixers, and instructional clinics. The ideal candidate is highly organized, detail-oriented, and has excellent communication skills to enhance member experiences and program participation. This role places a strong emphasis on administrative work, ensuring seamless scheduling, communication, and data management.ResponsibilitiesAdministrative & Program Coordination:
  • Oversee scheduling and registration for racquet sports programs, lessons, and events.
  • Maintain accurate records of program participation, membership engagement, and billing.
  • Assist in developing and implementing racquet sports programming to increase member involvement.
  • Coordinate court bookings, lesson schedules, and event logistics.
  • Serve as the primary point of contact for member inquiries regarding racquet sports activities.
  • Manage databases, reports, and statistics related to racquet sports participation and financial performance.Event Planning & Execution:
    • Organize and manage club tournaments, leagues, social events, and instructional clinics.
    • Handle event logistics, including participant registration, facility setup, and promotional materials.
    • Work with the marketing team to develop promotional campaigns for upcoming events.
    • Collaborate with vendors, sponsors, and external partners to enhance event experiences.
    • Track event success metrics and provide reports for continuous improvement.Member Engagement & Communication:
      • Develop and distribute newsletters, flyers, and digital content to promote racquet sports activities.
      • Manage communication with members through emails, social media, and club management software.
      • Gather and analyze member feedback to improve programming and engagement strategies.
      • Assist in new member onboarding and introduce them to racquet sports offerings.
      • Respond promptly to member inquiries and maintain excellent customer service standards.Operational Support:
        • Ensure courts, equipment, and event spaces are prepared and properly maintained.
        • Assist in maintaining inventory of racquet sports equipment and supplies.
        • Support racquet sports professionals with administrative tasks as needed.Performance Factors:
          • Program Efficiency: Ensure smooth coordination of all racquet sports activities and events, with minimal scheduling conflicts and maximum participation. Effectively manage program logistics to enhance the overall member experience.
          • Member Engagement & Satisfaction: Foster strong relationships with members through proactive communication and personalized service. Increase participation rates and maintain high levels of member satisfaction with racquet sports programs.
          • Administrative Accuracy: Maintain precise and organized records, including attendance tracking, billing accuracy, and timely reporting. Ensure that all schedules, registrations, and communications are clear and up-to-date.
          • Event Success: Plan and execute well-organized tournaments, social events, and instructional programs that enhance the club's reputation. Track participation trends and feedback to continuously improve event offerings.
          • Professionalism & Collaboration: Work effectively with club staff, instructors, and members to create a dynamic racquet sports environment. Demonstrate reliability, teamwork, and a commitment to upholding club standards and values.
          • Innovation & Growth: Identify opportunities to introduce new programs, events, or technologies that enhance the club's racquet sports offerings. Stay informed of industry trends and member preferences to drive continuous improvement.
          • Attendance/ Punctuality and Dependability: Depended upon to report to work at the scheduled time, is seldom absent from work, and keeps unplanned absences to a minimum. The Employee follows company policy of reporting/planning absences and going through the correct channels to request time off. Completes work in a timely, accurate and thorough manner, is conscientious about assignments and deadlines.Normal Work Schedule: Flexible to accommodate 5, 9.5-hour workdays or another variation of 47.5 hours per week with extensive overtime during peak business periods, 30 minutes for lunch unpaid.

                    • Bachelor's degree in Sports Management, Hospitality, Business Administration, or a related field preferred.
                    • Experience in program coordination, event planning, or administrative roles in a club, resort, or recreation setting.
                    • Strong proficiency in administrative tasks, including data entry, reporting, and scheduling.
                    • Knowledge of tennis and racquet sports is a plus but not required.
                    • Strong organizational and multitasking skills with attention to detail.
                    • Excellent verbal and written communication skills.
                    • Proficiency in Microsoft Office, club management software, and social media platforms.
                    • Ability to work flexible hours, including evenings, weekends, and holidays as required.
                    • Must be able to lift tennis equipment or other materials up to 30 pounds.
