Client Overview:Our client, a well-known NYC Institution is looking for a Collections Management Associate who will work under the supervision of the Collections Manager and Associate Collections Manager in the Photography department. Salary/Hourly Rate:$32/hr Position Overview:The Collections Management Associate will be responsible for the day-to-day departmental needs surrounding the Photographs permanent collection. Duties include all loan paperwork and correspondence; creating and maintaining loan and object files; maintaining TMS records; assisting with the Study Room for Photographs; coordinating JIRA requests for photography and conservation of permanent collection objects; and providing general support to the Department. Responsibilities of the Collections Management Associate:
  • Serve as departmental liaison for all outgoing and interdepartmental loans
  • Prepare, send, and monitor receipt of all loan paperwork, correspond with borrowers, and ensure deadlines related to outgoing loans are met
  • Create and maintain records
  • Update exhibition history, bibliography entries, and label text in TMS for loaned artworks
  • Create and maintain hard copy files for loans and new acquisitions
  • Coordinate condition checks and treatments with conservation departments
  • Coordinate photography for loans, exhibitions, and recent acquisitions
  • Assist with processing acquisitions
  • Assist with cataloging
  • Assist with visitors to the Study Room for Photographs
  • Other duties as assigned
Qualifications for the Collections Management Associate:
  • One to three years of collections care experience is required, preferably in a museum or cultural institution
  • Demonstrated ability as a competent, detail-oriented, proactive professional with the ability to work well under deadlines, problem-solve independently, and work within a team
  • Excellent written and verbal communication skills
  • Excellent organizational skills, including the ability to manage time and multitask
  • Ability to create and maintain precise records
  • Fluency with TMS or other collections management systems is strongly preferred
  • Fluency with Microsoft Office Suite (Word, Excel, and PowerPoint) is required
  • Fluency with project management systems, such as Workday and JIRA is strongly preferred
Education Requirements:
  • Bachelor's degree is required
