MEP Construction Firm is looking for a Project Administrator in San Francisco, CA.! This is a direct hire role and great opportunity to join an organization whose mission is to leave the World better than we found it. The Salary range is $65,000 to $70,000, and offers a hybrid schedule.
Job Summary:
The Project Administrator will be responsible for providing general project management, organizational, and administrative support to the project team. A successful candidate will be self-motivated, organized, proactive, and have the ability to multi-task. This individual must have the ability to work independently and also as a productive and engaged team member in a fast-paced environment. Strong initiative and follow-through are essential for this job.
In addition, this role requires you to be the quality assurance administrator for the projects assigned to your portfolio. It is expected that the majority of your time be billable to projects. The Project Administrator will provide backup to other PA's and/or administrators in the group, as the project workload and schedules dictate as well as work closely with Project Managers and be responsible for project-specific tasks and issues.
Core Responsibilities:
Assist in document control related tasks, including maintenance of current drawings and specifications following issuance up any updates.
Provide project-filing support over a series of platforms (internal server filing and external downloading and from extranet sites).
Assist in project output tracking.
Assist in maintaining current revisions of specifications and drawings under the direction of Project Manager and Project Administrator team.
May work directly with Construction Administrator to assist in producing CA reports, logs or other project materials, as assigned by the Project Manager.
Assist with project planning and outlook calendar setup, assist in conference call scheduling and setup.
Assist the PM or PA in maintaining resource reports and spreadsheets, as applicable.
Works with Project Managers/Administrators to resolve priorities.
Knows and uses the format and style that the firm wishes to use in the preparation of contract documents and correspondence.
Meets schedules. Advises project engineers and Project Managers when there may be a problem in meeting an upcoming deadline.
Assists in producing Basis of Design reports for AT team members.
Assist in maintaining project-filing systems and help keep all Project Records current and in order:
Files meeting minutes of Design phase project meetings.
Files weekly archives of project logs and trackers.
Files meeting minutes distributed to AT by outside sources, as assigned by the Project Manager.

Ideal Candidate:
Minimum 1-2 years of commercial construction administrative or clerical experience. Previous project coordination experience and familiarity with construction is required.
Must have an Associate's degree in business administration, construction, or project management.
Ability to maintain confidentiality and exercise extreme discretion.
Ability to type 60 wpm.
Proficiency in MS Office (Word, Excel, and PowerPoint) and Adobe Acrobat.
Proficiency in MS Project and Newforma.
Proficiency in Website editing and blogging.
Experience with Bluebeam, Adobe & Deltek Vision preferred.
