General Description

The Commercial Property Administrator reports to the Property Manager and is responsible for assisting in the overall day-to- day administrative operations of the property management office.

General Areas of Responsibility

  • Continuously strive to provide the highest level of customer service to our tenants and owners.
  • Assist and work closely with the on-site property management team, tenants and vendors to achieve property management goals.

Focus Areas of Responsibility

  • Provide exceptional customer service to tenants and assist as needed.
  • Answer incoming phone calls and greet guests in a professional manner.
  • Provide administrative support to management team members.
  • Communicate and coordinate with security, housekeeping, parking and engineering staff.
  • Update and maintain vendor access log.
  • Help with planning, scheduling and coordinating tenant events as needed.
  • Order office and kitchen supplies.
  • Process incoming and outgoing mail via U.S. mail, overnight carriers, and messenger services.
  • Provide mailboxes/keys and access cards to tenants.
  • Prepare and distribute tenant memos, manuals, welcome letters and other communication from the management office.
  • Update property tracking tools as needed.
  • All other duties as assigned by the Property Manager.

Qualifications & Skills

  • Bachelor's degree required from an accredited institution with concentration in Management, Finance, or Economics preferred.
  • Client service-oriented attitude.
  • Excellent verbal and written communication skills
  • Strong organizational and prioritization skills
  • Strong initiative and work ethic
  • One-year relevant experience in a professional office environment
  • Experience with MS Office Word, Excel, Outlook; Yardi and Adobe Acrobat preferred.
  • Ability to maintain all information with the highest degree of confidentiality.
  • Ability to manage multiple priorities in a fast-paced, deadline-oriented environment.
  • Ability to follow written and oral instructions.
