About the Opportunity:
This is an opportunity for an Executive Associate to support and work alongside a Director at a Commercial Real Estate firm in New York City. The Associate's primary role will be to provide administrative, operational, and marketing support to the Director. This role involves coordinating daily administrative tasks, handling scheduling, maintaining the Director's CRM, doing research and outreach, and assisting with commercial real estate deals. The ideal candidate will have already worked in commercial real estate (preferably in office), understands the basic components of the deal, and is resourceful. Bonus if the candidate has already done deals leasing office space in NYC for 2-3 years, ideally as a tenants' representative.
About the Company:
Our client is a Director within a mid-size boutique commercial real estate brokerage and advisory firm based in Lower Manhattan. The Executive Associate would work directly with the Director.
Responsibilities:
Administrative and Scheduling Support
- Meeting Coordination: Schedule and organize meetings
- Document Management: Maintain an organized repository on Google Drive to ensure essential documents are accessible and up-to-date
- CRM Management - maintain CRM by updating and ensuring all data is accurate
- Follow-Up: Track emails and tasks with tools like Boomerang to ensure timely follow-up and completion
Lines of Business Support
- Digital presentations: inputting pricing info, floor plans, photos, etc. for clients
- Scheduling meetings for Director
- Prospecting, touring/showing office space, meeting in person with clients
- Creating projections on spreadsheets
- Commercial Leasing Support: Draft and send bi-weekly owner reports, coordinate data, and provide admin support to commercial clients.
- Marketing Coordination: Coordinate marketing materials as needed
- Market Research and Analysis: Conduct market research, prepare analysis reports, and create property decks for on and off-market properties
- Inbox and Communication Management: Manage email inbox and communication channels to prioritize correspondence
- Drafting Documents: Prepare letters, memos, and other documents as needed
Qualifications:
- Proven experience in an executive support role or administrative capacity
- Proficiency with Google Suite (Drive, Sheets) and scheduling tools (Zoom, Boomerang)
- Strong organizational skills and high attention to detail
- Ability to handle confidential information with discretion
- Strong written and verbal communication skills
- Self-motivated with the ability to work independently and as part of a team
- Smart, honest, with integrity, a strong work ethic, coachable, and personable
Compensation:
To be paid on a draw - $75,000 + discretionary bonus
