Salary : $70,918.58 - $88,691.52 AnnuallyLocation : New Albany, OHJob Type: Full-timeJob Number: 2024-42Department: AdministrationOpening Date: 12/04/2024Closing Date: 12/22/2024 11:59 PM EasternDescriptionThe Community Program Specialist supports the community program administrator to ensure the successful implementation of programs offered by the city to the community. This position is expected to apply a high level of independent decision-making and initiative to handle a wide range of work situations often involving members of the public, staff, and vendors. These responsibilities require a broad knowledge of community programming operations in a rapidly changing environment. Considerable judgment and tact are required in handling the many diverse situations that arise. Additionally, this position will assist in all aspects of facilitating programs such as finding and scheduling vendors, planning, setting up and tearing down, acquiring supplies, cleaning and sanitizing areas, and greeting and assisting participants with needs. This position will use creative thinking to solve varied problems that arise in different settings and in uncertain circumstances. The incumbent must respond to spontaneous situations and balance priorities while maintaining personal composure and tactfully handling various situations. The incumbent will behave in a friendly, understanding, helpful and professional manner with coworkers, supervisors, vendors and the general public. The position may direct or lead the work of part-time employees or interns on an irregular basis. Examples of DutiesThe following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.
  • Assists in the implementation of programs and events; schedules volunteers, vendors, and equipment; and, obtains facilities and supplies and other logistical planning.
  • Ensures financial procedures at complied with in purchasing materials, contracting with vendors, etc.; tracks financial and program data to ensure compliance with the budget.
  • Plans and implements recreation programs as needed.
  • Communicates in a timely and professional manner with program participants, and/or staff regarding day-to-day financial, registration and other program logistics, utilizing appropriate software systems.
  • Coordinates payments and refunds; plans and oversees implementation of field trips, and coordinates supply orders for programs to ensure accurate and timely delivery of the program.
  • Serves as the point of contact for community programming with the public, vendors, staff and volunteers; receives calls, emails, requests for information and complaints and responds appropriately.
  • Independently composes non-standard correspondence and reports including responses to inquiries from internal and external sources, writes memos, takes and edits minutes for various meetings and prepares status reports on assigned projects.
  • Maintains accurate records which may include rosters, incident/accident reports, receipts for supplies, time and attendance, and accurately communicates information to supervisor in a timely manner.
  • Coordinates with event vendors ensuring vendors are properly set up for payment or participation at events; communicates deliverables and ensures deliverables are provided.
  • Greets and assists participants with check-in upon arrival, and provides instruction or directions to assist participants.
  • Ensures facilities are ready for programs, assists participants with proper use of facilities and program spaces, helps to ensure the successful implementation of programs; assists instructors or vendors as needed; ensures participants abide by facility and program guidelines for the benefit and safety of all in attendance.
  • Cleans and sanitizes program areas/equipment between classes/participants as necessary.
  • Sets up and tears down tables and chairs for meetings, special events, classes and programs.
  • Performs other related duties as assigned.
QualificationsBachelor's Degree is preferred plus three (3) years of experience in event management such as community programming or special events; or any equivalent combination of education and experience that provides the knowledge, skills and abilities required of the position. This position requires a valid Ohio Driver's License; a pre-employment drug screen as well a background check are required due to the nature of the work.
