The Community Support Specialist provides essential support to the Catalyst Community staff while actively connecting with the families, providers, and local community members who contact our offices. The position is responsible for data entry of subsidy waitlist applications, documentation of referrals for California Department of Social Services (CDSS) reports providing compliance data to funders and tracking disposition of commodities for grant reports. The specialist will also assist in the coordination of community projects and advertising of events and marketing of Catalyst Community services. The specialist coordinates office business management needs which include office supplies, print orders, and office equipment maintenance while acting as a resource and communication link throughout the organization.Essential Job Functions:
- Answer phones in a courteous and pleasant manner; greet walk-in clients/providers upon entry.
- Screen all calls and walk-ins for services needed; refer to the appropriate staff member or community services.
- In accordance with documentation guidelines, record all calls and activity in office on Resource & Referral (R&R) tracking forms - tabulate data monthly, report to R&R Manager.
- Maintain current mailing lists - both physical and virtual - for providers, parents, and community agency contacts.
- Assist clients and providers with the dissemination of forms, schedules, and documentation to Catalyst Community programs.
- Assist in tabulation and documentation of office activity for State reports.
- Provide backup referral/resource library services for R&R staff.
- Perform call-backs on referrals for State referral compliance, completing data collection for monthly report.
- Assist public with Early Childhood Education (ECE) or other technical questions whenever possible; refer to appropriate R&R Manager and/or community agency.
- Record and distribute minutes of staff meetings, keep Customer Management Resource (CMR) updated as regulations dictate.
- Collaborating with the Purchasing Department, coordinate and order office supplies for Catalyst Community offices.
- Coordinate and track usage of forms, print orders, office letterhead, and envelopes. Track office supply needs to facilitate future orders.
- Provide support to subsidy through assistance with client calls, packet production, calendars for the enrollment process, mailing out calendars, and month end report compilation.
- Assist with event, conference, and project planning, including flyer creation and distribution, advertising, marketing, and calls to potential participants.
- Assist clients, parents, providers, and community members accessing training and events sponsored or tracked by Catalyst Community.
- Other duties as assigned.
Qualifications & Requirements:Education The MINIMUM formal relevant education required by the position. Relevant experience/certifications in lieu of formal education will be considered.
- HS Diploma or GED
- AA degree in Business Administration or related field preferred
ExperienceThe MINIMUM relevant experience necessary to qualify for the position. Experience in lieu of education is to be counted as part of formal Education and not as part of the required experience.
- 3-4 years' experience in administrative support, data analysis, or related field
