Position Details:
The position supports the NEA's strategic objective to focus the energy and resources of its 3+ million members toward the promotion of public education by providing high-level support in corporate travel, financial, and coordinating related activities.
Position Summary: This position is responsible for negotiating and overseeing multi-million-dollar national contracts with travel vendors, airlines, and the NEA Travel Agency, as well as managing RFPs, resolving conflicts, identifying cost-saving opportunities, evaluating services, and implementing necessary changes. The role also includes providing training and support on the Travel Management System and expense reporting, ensuring compliance with NEA travel policies, and reconciling transactions between the Travel Management System (AmTrav) and credit card statements for accurate recording in the Financial Management System (PeopleSoft). The incumbent is also responsible for assisting with financial planning and budgeting, and supporting financial services, including invoice processing and expense tracking. The role also requires maintaining accurate records of travel and financial transactions, providing customer service for travel and financial inquiries, staying updated on industry trends, and collaborating with auditors during financial audits. The employee may be assigned specific responsibilities for the NEA Annual Meeting, to be determined based on experience and departmental needs. The employee will use various NEA-endorsed software (a2b by AmTrav, CVent, EMS, PeopleSoft, Smartsheet, and Microsoft Office) and may travel occasionally.
Minimum Education Requirement: Bachelor's degree in Business Administration, or equivalent combination of experience and training from which comparable knowledge and skills may be obtained. Minimum Qualifications: Four years of experience in corporate travel management. Experience must include advising customers and coordinating travel-related services. Experience must also include negotiating with service vendors and using a variety of travel-related technologies including apps, travel systems, collaborative software, and other meeting-related technology. Strong knowledge of travel booking systems, preferable a2b by AmTrav and financial software, preferable Peoplesoft. Other Requirements: Must be able to occasionally work extended hours on evenings and weekends. Occasional travel required (10 - 15 overnights) per year.
Selection Criteria: Tier 1 (Essential): Proven experience negotiating travel contracts. Experience must also include preparing Requests for Proposals (RFPs) and developing contract language as necessary. Demonstrated knowledge and experience using collaborative technology solutions, Travel Management System, project management software. Experience resolving the myriad of problems inherent in travel planning using negotiating, bargaining, and conflict resolution skills. Demonstrated attention to detail and high-level technical skills in word processing, spreadsheets, media planning, and database software. Proven effective oral and written communication skills. Excellent organizational and time management skills. Successful references. Tier 2 (Significant): Demonstrated flexibility in handling multiple tasks simultaneously under stringent timeframes and changing priorities/conditions. Proven ability to maintain current and organized files. Ability to coordinate the work of consultants and vendors. Demonstrated success in teamwork. Tier 3 (Desirable): Interest in project management and travel agent certification. Knowledge of CFM's strategic focus, mission and programs.
