We are seeking an Constituent Engagement and Events Manager to serve as a key member of the Office of Institutional Advancement and the Alumni Engagement Team. This role manages and executes departmental events, engagement programming and communication strategies. Responsibilities also include oversight and management of our student-focused council. The Constituent Engagement & Events Manager will partner with the Director of Alumni & Constituent Engagement to expand current alumni volunteer programs and is trusted to develop complementary initiatives and partnerships that align with University strategic plans. The department's primary goal is to build and strengthen long-term, meaningful relationships between the University and its alumni and other constituent groups. The Constituent Engagement & Events Manager, at times, may also support select essential administrative functions for the Office of Institutional Advancement.

* Responsible for the management and logistics planning for alumni and constituent engagement events and/or meetings and supports with general event planning for The Office of Institutional Advancement as needed. Emphasis on planning, organizing, and implementing of alumni weekend with oversight from the Director of Alumni and Constituent Engagement and the senior Director of Advancement.

* Determines and develops content, writes, and publishes alumni e-newsletters.

* Creates and implements social media engagement content and strategy in collaboration with the Marketing Department.

* Manages, prepares, and sends alumni correspondence using independent judgment on strategic methods of communication. Works with the Director on mass mailings and contributes to the overall marketing planning calendar.

* Alongside the director, responsible for data collection and key metrics reporting.

* Serves as the liaison to other departments on-campus to discern all activities and announcements that would apply to the department.

* Designs, implements, and manages class-based programs and volunteer recruitment, training, and management.

* Oversees and supports the Student Alumni Leadership Council (SALC) and helps them to drive the engagement planning for their programs.

* Assists our student and alumni volunteers when they sign-up to support University events and programs.

* Work to establish campus partnerships to provide relevant and innovative programming for Alumni Weekend and other engagement events.

* Works closely with all campus operations departments and staff and other campus partners to manage space reservations and set up needs for meetings and events related to the Office of Alumni Engagement and seeks out opportunities to learn more about the work of campus-wide peer offices, including but not limited to Academic Affairs, Student Engagement, Athletics, the Loyola-Notre Dame Library, Marketing and University Communications.

* Facilitates the organization and accuracy of our centralized volunteer management system internally and externally to support the Director in volunteer recruitment, onboarding, and stewardship.

* Uses Raiser's Edge database software and cloud-based platform, NXT, with a high degree of proficiency to track and analyze engagement efforts.

* Assists the Director with processing the Alumni Engagement budget, including payment of vendors and tracking budget lines.

* Analyzes all aspects of our event and activity registration and survey follow-up to provide data- driven metrics to measure guest satisfaction and accurate engagement tracking, including an annual event-related report to monitor our events' impact on our departmental goals.

* Coordination of office supplies for the Office of Institutional Advancement as needed.

* Serves as the lead administrative and project management support for the Office of Institutional Advancement as it relates to quarterly Board of Trustees and Institutional Advancement Committee meetings. As needed, takes minutes at IA Committee meetings and prepares minutes for committee member distribution.

* Other duties as assigned.

Bachelor's degree required and one to two years of professional work experience in event management, communications, relationship management, customer service, hospitality and/or administrative work is strongly preferred. Experience working with volunteers or students in higher education or non-profit setting is a plus.

The candidate must possess strong interpersonal and organizational skills and be adept to social media and e-communications, as well as written and oral communications. Ability to problem solve independently on a regular basis, present solutions and flexibility. Additionally, the candidate should have great initiative, demonstrate engagement in projects, meet deadlines, and prioritize and manage multiple tasks with professionalism. Proficiency in Microsoft Office Suite, database management experience, and comfort using new and changing technology is required.
