Overview

As a Construction Administrator you will administer contract requirements of assigned projects as shown on the drawings and specifications and in the contract for construction. This includes being the primary point of contact and liaison between the Owner/Contractor and the design team throughout the construction phase.

Responsibilities

Construction Administrators work as part of a multi-discipline team during the design and construction phases of multiple simultaneous projects. During the construction phase, the Construction Administrator serves as the Owner and Contractor's primary point of contact and coordinates their work closely with the Project Manager and design team. Construction Administrators are responsible to know and administer industry-standard and project-specific contract requirements. Excellent client relationship skills, strong team-oriented approach, and independent professional judgement is required.

Responsibilities include but are not limited to:

  • Proactively communicate and establish cooperative working relationships with the design team, Owner, and Contractor.
  • Edit industry standard AIA documents, General Conditions, and ‘front-end' specification Divisions 00 and 01.
  • Explain, educate, and coordinate project delivery methods, contracts, and terminology with the design team, Owner, and Contractor as required.
  • Represent the design team in Owner-Architect-Contractor meetings. Engage design team members as appropriate.
  • Conduct on-site observation visits to confirm whether the work was completed in general conformance with the contract documents. Detect and resolve deviations. Create site observation reports to document issues.
  • Keep the Owner and design team informed about the progress and quality of the Work and proactively anticipate problems and head off disputes during construction.
  • Understand primary codes and standards, work with Building Officials and testing agencies.
  • Specify and administer a neutral online project website.
  • Participate in quality control reviews of drawings and specifications during design.
  • Answer or coordinate the team's response to Contractor's RFIs. Prepare and issue Proposal Requests and ASIs.
  • Review or coordinate the team's response to Contractor shop drawings and applications for substitutions
  • Review CPM schedules, pay applications, schedules of values, and cost proposals. Prepare CCDs and change orders for Owner approval.
  • Conduct formal site observations with the Owner for Substantial Completion and Final Completion.
  • Expedite the specified project closeout procedures – certificate of occupancy, contractor's punchlist, test and balance report, O&M manuals, Owner training, etc.
Qualifications
  • Degree in Architecture, Interior Design, Engineering, Construction Management, or Construction Engineering from an accredited college or university
  • 8-15 years' experience at an A/E firm, Contractor, or Facility Operations position
  • Demonstrated ability to orchestrate construction phase coordination of contract documents
  • Assertive by nature with a sense of urgency to be responsive and resolve issues promptly
  • Working knowledge of construction materials, construction methods, and variety of project delivery and contracting processes
  • Must be able to travel, drive a vehicle, walk construction sites with varying degrees of terrain, and climb ladders to review work performed on upper levels and roofs
  • Excellent time management and organization skills with a desire for professional growth
  • Proficiency with computer software including Microsoft Office and Bluebeam. Proficiency with various forms of online project websites (Newforma, Submittal Exchange, Procore).
  • Professional registration (Architecture, Interior Design, Engineering or Project Management) is a plus
  • Familiarity with scheduling software and Revit is a plus
  • Strong graphic, verbal, and written communication skills
  • Positive attitude and commitment to active participation as part of a multi-discipline team
  • Active leader and member of varied professional organizations is a plus
