DescriptionPOSITION SUMMARYThis position is responsible for assisting the project team(s) with contract administration of assigned projects, including but not limited to, timely compilation of bids, letting of contracts and billing; and for facilitating job-related communications with other persons, including subcontractors, vendors, insurers, and clients; for operating office equipment; for assisting with job-related bookkeeping; and for performing relief and/or back-up duties and responsibilities for the receptionist. An individual in this position will be expected to perform additional job related responsibilities and duties as assigned and/or as necessary.Pay Range: $19 - $25 HourlyDays: Monday - FridayHours: 8:00AM - 5:00PMHome Office Location: Jacksonville, FL (Southside)NO REMOTE OR HYBRID POSSIBILITIES. MUST BE WILLING TO WORK ON-SITE.ESSENTIAL DUTIES AND RESPONSIBILITIESDevelop and present to supervising Project Manager at your annual review a plan for your professional growth and development, including professional goals for the forthcoming year. This plan should include enhancement of at least one existing skill or development of a new skill (i.e. computer skills, expand use of existing software, research of appropriate new software). Affiliation with or membership in a work-related association is highly desirable.Assist project team with tracking of subcontractor compliance reportsAssist Project Managers with timely contract administration of all jobs, including but not limited to, forwarding signed contracts to owners/design professionals, preparation of statutory notices, compilation and distribution of job packets to supervisory field employees, securing signed contracts from subcontractors together with verification of all subcontractor insurance and safety training requirements, and preparations of job invoicesProcess employment applications and assists in other employment activitiesProcess invoices for routing, coding, approval and payment in accounting softwareTogether, with project team, set up and maintain job logs, job files, including job coding, filing, scanningOperate and oversee the proper maintenance and functioning of relevant office machines, including but not limited to those located in admins officeAssist with in-person and telephonic reception; open, sort, and forward company mailAssume other responsibilities as assigned by the supervising PM / SuperintendentAssist with review of payments to owners and subcontractors, including verification and processing of all payment application requirementsProcess waivers, contract forms, change orders, notices to subcontractors, changed conditions, construction schedules, and purchase orders as assignedAlways present yourself in a professional manner that enhances the reputation of the companyAssist Project Managers with all other requested areas of project coordination, including but not limited to attending project meeting as assigned, recording and distribution of minutes of such meetingsAssist PM and field supervisors with dissemination, collection and maintenance of records of project safety training and site inspectionsAttend all scheduled staff meetings and company functions that arise from time to time, including those scheduled before or after normal work hours (early mornings, evenings, weekends)Assist PMs with submission of selected projects for construction awardsAssist project team in submitting time for payroll purposesTrack and record field office (if applicable) preparation, including posting of statutory notices, preparation and file notice of commencements, provision of first aid kits, injury re-post forms/instructions and OSHA logs, ordering water supply, and advising appropriate parties of location of new field officeMust be willing to travel if requiredCommunicate with (or to) individuals or groups verbally and/or in writing (i.e. customers, suppliers, employees)Maintain relationship to ensure needs are met and problems/conflicts are resolvedCommunicates and reinforces the company vision, mission, and valuesSUPERVISORY RESPONSIBILITIESNoneSKILLS AND ABILITIESAbility to apply common sense understanding to carry out instruction furnished in written, oral or diagram formAbility to deal with problems involving several concrete variables in standardized situationsAbility to read, analyze, and interpret business documents, technical procedures, or governmental regulationsAbility to write reports and business correspondenceAbility to effectively present information and respond to questions from groups of managers, clients, customers, and the general publicMay be required to use a personal computer and be familiar with Windows Applications such as Word, Excel, SharePoint, Scheduling and Job Cost SoftwareAbility to provide strong level of customer service with a high energy levelAbility to investigate and follow up with a high attention to detailAbility to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimalsAbility to compute rate, ratio, and percentMust be knowledgeable about and follow the company's safety policies and proceduresAbility to manage time appropriately and maintain a high level of organizationPHYSICAL DEMANDS / WORK ENVIRONMENTFrequency - ActivityAlways - Vision abilities: close, distance, color & peripheral vision; depth perception; adjust focusFrequently - Required to sit, use hands to finger, handle, or feel; reach with hands and arms; talk & hearFrequently - Work indoors for extended periods of timeFrequently - Work in a moderately noisy environmentFrequently - Work environment may be in the office or on an active construction siteOccasionally - Required to stand, walk, and stoop or kneelOccasionally - Lift and/or move up to 25 pounds, climb or balanceEDUCATION AND EXPERIENCE REQUIREMENTSAssociates Degree from 2 year college or university1-3 years related experience and/or trainingOR equivalent combination of education and experience#IND1Required Skills* Associates Degree from 2 year college or university* 1-3 years related experience and/or trainingOR* Equivalent combination of education and experienceOpenings1
