Job Summary:

The Contract Administrator supporting Elecnor Hawkeye's Legal Department will play a vital role in driving the efficiency, effectiveness of legal, and compliance operations across Elecnor Inc. and its subsidiary companies. This individual will contribute to a wide range of responsibilities, including supporting contract creation, revisions, and negotiations, assessing risks and obligations, and addressing contract-related inquiries. In collaboration with the legal team, they will also assist in developing contract templates and content while overseeing essential administrative functions such as document preparation, meeting coordination, and communication management. Success in this role will require a strong commitment to organization, confidentiality, and proactive problem solving, as well as the ability to collaborate seamlessly with legal professionals and various departments to ensure smooth and impactful operations.

Key Responsibilities:

  • Prepare, review, and file legal documents, including contracts, agreements, and correspondence.
  • Schedule meetings and ensure timely follow-ups on outstanding matters.
  • Handle communications with internal and external stakeholders, draft emails, and manage incoming and outgoing mail.
  • Maintain and update records, databases, and case files with precision.
  • Conduct basic legal research as needed, and assist in gathering information for legal proceedings.
  • Assist with billing, invoice processing, and expense reports for the legal department.
  • Provide general administrative support, including organizing travel arrangements, ordering office supplies, and managing office logistics.

Qualifications:

  • 3+ years of experience in an administrative role, within a legal or compliance based environment.
  • Bachelor's Degree
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook); familiarity with legal software and document management systems is a plus.
  • Strong attention to detail, excellent organizational skills, and the ability to handle sensitive information with discretion.
  • Exceptional verbal and written communication skills, with the ability to interact professionally with all levels of staff and external contacts.
