Summary: The Controller ensures that club policies are monitored and enforced while overseeing accounting operations, budgeting, taxation, and related financial activities. This role is responsible for the administration of financial procedures and systems, preparation of preliminary financial statements, and financial analysis. The Controller supervises the accounting staff, including scheduling, training, and professional development, ensuring accurate and timely execution of all accounting processes. The Controller is also responsible for identifying financial trends, proactively addressing potential financial issues, and maintaining a strategic approach to financial operations and planning. Additionally, the Controller is responsible for monitoring capital project costs, renovations, and infrastructure expenditures to ensure financial control and alignment with budget expectations.

Essential Duties and Responsibilities:

  • Oversee all accounting reconciliations and ensure the timely preparation and review of general ledger, trial balance, and preliminary financial statements.
  • Reconcile multiple operating and reserve bank accounts.
  • Collaborate with Accounting on all banking matters, including loan payments and payroll/tax reconciliations.
  • Assist the General Manager/COO with interim and year-end audit preparation.
  • Monitor, update, and transfer funds to maintain the integrity of financial accounts.
  • Identify financial trends and provide proactive recommendations to address potential financial risks or opportunities.
  • Ensure compliance with internal control policies and recommend improvements to existing processes and procedures.
  • Review daily bank balances and provide cash flow insights to the General Manager/COO.
  • Oversee accounts receivable and support past-due account collection procedures.
  • Monitor and report on capital project costs, renovations, and infrastructure expenditures to ensure budget compliance and financial efficiency.
  • Assist in the annual budgeting process, working with department heads to prepare preliminary operating and capital budgets and reports.
  • Lead and mentor the accounting team, fostering effective communication and collaboration on projects.
  • Maintain courteous and professional communication with co-workers, management, members, and vendors.
  • Ensure compliance with GAAP, federal, and state regulations, as well as club policies and procedures.
  • Coordinate financial activities with the Board, Treasurer, and Finance Committee, attending relevant meetings to provide financial insights.
  • Review all cash disbursements and co-sign checks requiring dual authorization.
  • Participate in the selection and administration of the club's health, dental, 401(k), and life insurance programs.
  • Assist in selecting and monitoring the club's insurance policies to protect its assets.
  • Serve as Trustee for the club's 401(k) retirement plan, maintaining all relevant records and documents.
  • Evaluate and recommend accounting, membership, point-of-sale, and fixed asset software applications.
  • Maintain strong relationships with financial institutions to manage club accounts, loans, and financial requirements.
  • Ensure the General Manager/COO is well-informed on financial matters to effectively address member inquiries.
  • Develop a strategic approach to financial operations and planning, ensuring alignment with the club's goals and objectives.
  • Uphold a professional demeanor to reflect a positive image of Glen Oaks Club.
  • Perform other duties as assigned by the General Manager/COO.
  • Requirements

  • Extensive knowledge of accounting functions, preferably within a private club environment.

  • Proficiency in data analysis and financial reporting.

  • Supervisory Responsibilities:Directly supervises employees in the Accounting Department, ensuring compliance with club policies and applicable laws.

    Education and Experience:

  • Bachelor's degree (B.A.) in Accounting from a four-year college or university.
  • Minimum of 8 years of related experience and/or training, or an equivalent combination of education and experience.
  • Experience in a private club or community association preferred.
  • Language Skills:

  • Strong English communication skills.
  • Ability to read and interpret documents such as safety rules, operating instructions, and procedure manuals.
  • Ability to write reports and correspondence effectively.
  • Comfortable speaking before groups of diverse constituents.
  • Mathematical Skills:

  • Proficiency in calculating figures such as discounts, interest, commissions, and percentages.
  • Strong knowledge of accounting principles and financial calculations.
  • Reasoning Ability:

  • Ability to apply common sense to carry out written, oral, or diagram instructions.
  • Capable of solving problems with multiple variables in standardized situations.
  • Computer Skills:

  • Proficiency in Microsoft Office, particularly Excel and Word.
  • Familiarity with club accounting software, inventory management, and financial reporting tools.
  • Certificates, Licenses, and Registrations:

  • None required.
  • Physical Demands:The employee must frequently lift and/or move up to 10 pounds. Specific vision abilities required include close and color vision. While performing duties, the employee is regularly required to sit, use hands, reach, talk, and hear. The employee is frequently required to walk and occasionally stand or stoop.
