Job DescriptionPURPOSE OF POSITION:Responsible for planning, controlling, coordinating administration and office Operations and interpreting compliance with predetermine standards for quality care in the Adult Outpatient Psychiatry Department. Integrates, coordinates these programs, operations, functions and maintains proper patient flow, ensures proper registration of all patients, and accounts for completion of required visit documentation to ensure compliance with H +H and OMH standards.Duties & Responsibilities:•Serves as primary resource for resolving patient questions and issues as it relates to all aspects of their visit and contacts practice leadership with potential problems.•Responsible for maintaining the Epic Scheduling system, ensuring all patent visits are accounted for in Epic, and that provider has scheduled time off.•Serves as back-up to the clerical associate in scheduling patient visits as needed and modifying templates to accommodate appointments.•On a daily basis, ensure efficient patient scheduling, registration, insurance and flow through the Adult Outpatient Clinic•Provide assistant to ensure resolution of mental and injectable patients financial problems that impact on patients' ability to obtain needed mental services are communicates with health insurance plan.•Directly supervises, trains and evaluates performance of the clerical associates and medical records specialist in all aspects of their work; assigns duties as required, such as cycle times and closing of all visits received from the coders for billing, purposes, ensures Did Not Keep Appointment letters and re-engagement letters are sent in a timely fashion, and that phones are promptly answered by staff.•Ensure all clerical associates are incompliance with all pay, leave, and timekeeping regulation and policies•Escalates any unresolvable issues to Management for prompt resolution•Assist with the recruitment, selection, orientation and training of new support staff•Assists with the development and implementation of any new procedures and policies pertaining to the clinic•Oversees the intake and screening clinic and reallocates resources as needed to accommodate patients arriving, assigns patients to designated screeners and / or reschedules as needed.•Pulls data needed to complete Epic visit cycle times for the Adult;•Reviews charts for adherence to TJC, OMH, DOH, OASAS and Utilization Review Group standards•Oversees the Geriatric Outpatient clinic to ensure staff in the ambulatory practice have completed the Epic visit cycle time for those patients.•Maintains tracking system of missing and incomplete visits notes; notifies providers when notes need to be completed. Notifies coders when a visit is completed and can be released.•Consults with providers to clarify ambiguities and secure documentation of patient visits necessary for timely coding and payor reimbursement.•Maintain inventory of supplies needed for the operation of the clinic, and ensures orders are placed before supplies are depleted.; completes purchase orders, RFP's and temporary agency requests for the practice. Track all purchase requisitions.•Serves as liaison with other departments to coordinates joint patient management, for example 10A, 10C, PES or others.•May represent the Department Administrator in departmental and hospital-wide meetings, as appropriate.•Manage, preparing, oversee scheduling and updating Epic templates as needed scrubbing the schedule routinely for BH clinic•Ensures reception area and back office is maintained in an orderly fashion.•Monitor and improve patient flow to increase efficiency, reduce wait time, and enhance productivity•Prepares monthly Pl (Performance Improvement) report regarding treatment plan, admission notes, health screening and high-risk policy compliance.•Schedule, monitor, and keep record and reports on staff attendance and compliance of required training and credentialing.•Manage open visits and ensure timely closure of visit at the end of each month.•Produce annual evaluations, competency, code of conduct and job function•Participates in departmental and the clinic initiatives within Behavioral Health•Adheres to Network standards of customer service during daily activities with patient and staff and addresses patient complaint in real-time•Work together to provide comprehensive, personalized care for all New Yorkers and commit to providing a person-centered are environment while exemplifying ICARE values•Create, review in EPIC and prepare on a daily basis the list of patients to receive LAI (Long Acting Injectable) then forward to the Pharmacy•Consult with other Behavioral Health professional staff from other-areas such as Inpatient, PES, ED and Ambulatory Services to plan and coordinate joint patient (discharges) and management objectives.•Retrieve pertinent information as requested and perform other duties as may be assigned by supervisor.•Attend meetings (Operations, Touch Base with Central Office; Team Meetings, Staffing Meeting; Intake and High-Risk)•Performs all other duties/tasks as assigned by supervisor or designee
Minimum Qualifications1. A Baccalaureate Degree from an accredited college or university in Public Health, Public Administration, Business Administration, Social Work, Psychology or Rehabilitation Counseling, and three (3) years of full-time experience in medically-oriented health care and medical support systems environment, two (2) years of which included experience in an administrative or supervisory capacity in such occupations as physical, occupational, inhalation, speech and audiology therapy or as Medical/Laboratory Technologist, Microbiologist (various specialties), Chemist (biochemist), Radiation and X-Ray Technician or three (3) years of responsible level experience in business management systems or general administration including two (2) years in a supervisory or administrative capacity. 2. A Masters Degree from an accredited college or university in the disciplines listed in (1), and two (2) years of full-time experience as listed in (1), plus one (1) year experience in an administrative or supervisory capacity in occupations as listed in (1); or, 3.
