Reporting to the Associate Director, the Coordinator is responsible for providing overall support for planning, coordination, and executing events. This role involves coordinating communication and logistics for alumni events and programs, maintaining accurate records, and assisting with various tasks to enhance alumni engagement. Primary Job Responsibilities 1.Event Management Assist the Associate Director in Developing events to meet the strategic priorities of the Office of Alumni Engagement. The utilization of data is expected to identify key areas for growth in alumni engagement and philanthropic support. Track and report alumni engagement and participation. Open communication across departments is a must. They must be creative and technically savvy, able to produce invitations and related event correspondence according to deadline. This includes frequently designing and sending mass emails and event landing pages and identifying strategic invitation lists and creative ways to encourage and increase attendance. Must become a strong user of the College's CMS platform. The Coordinator is responsible for capturing photos and content as source for our social media platforms. Create and send out surveys after events to all attendees promptly to collect event feedback. Monitor survey responses and flag appropriate staff member of responses when necessary. Work with Office of Advancement administrative staff to coordinate the preparation of event packages, coordination of deliveries of mailings, attendance lists, nametags, literature, favors and other supplies for all events and by deadline. 2. Advancement Ambassador Build relationships with faculty and staff to highlight Advancement/Fundraising and College-wide initiatives through programming. Support faculty during the event planning process – including securing all aspects of travel as needed for faculty to attend events in different cities. Communicate event activity to necessary constituents (campus community, Office of the President, Advancement staff, alumni volunteers). They will be skilled at learning the on-campus Event Management System (EMS), maintain strong relationships and partnerships with on campus colleagues in special programs/Surrey/housekeeping/facilities/dining services. The Coordinator will become an expert in divisional CMS/database and advocate for the event needs of the Alumni Engagement team regarding best practices and platform/software functionality. They must be a collaborator and team member to the Office of Advancement and Alumni Engagement seeking new and interesting ways to strengthen the team and culture ongoing. 3. Supports all Office of Advancement events as-needed Throughout the year there are events that require “all hands-on deck” and/or all members of the Office of Advancement to contribute to major on-campus events including but not limited to: Reunion Weekend, Homecoming, Palamountain Benefit, and Celebration Weekend. The Coordinator will work with the team to volunteer for any and all events within their reasonable availability. Qualifications & Competencies Education: Associate's Degree or equivalent combination of education and experience. Experience: 3-5 years of progressively responsible experience working in event management, communications, and/or a combination. Data driven with an ability to identify trends and utilize data to inform decision-making. Astute budget discretion and management. Must appreciate the mission and traditions of a national liberal arts college, the inter-relationships between alumni programming and fundraising, and a collegial decision-making process. Outstanding ability to work well with alumni volunteers who are vital to the health of the alumni association and the College. Must maintain positive and mutually respectful relationships with all the individuals who are “stakeholders” in the events and therefore develops effective and positive relationships with the staff within these offices to ensure successful event outcomes. Knowledge of the College, its mission, and of the culture of the Advancement office is essential. Able to manage multiple projects simultaneously and meet strict deadlines. Strong oral and written communication skills. Technologically savvy and an ability/interest in learning new software products. Strong organizational and analytic skills. Proficiency in office management systems, procedures, Microsoft Excel, Word, and Publisher and Qualtrics is preferred. Ability to maintain a high level of confidentiality and discretion is imperative while working well in a very fast-paced, high-volume, deadline-driven environment and presenting oneself, and Skidmore, professionally at events on and off-campus. This position will work on-campus and must be able to lift a minimum of 10lbs in support of events. Some travel required and nights and weekends are a requirement of this position.
