Position Summary:
The Coordinator, Estates & Trusts will be responsible for managing and administering select estates, trusts, and other matured planned gifts, including charitable gift annuities and beneficiary designations in which Audubon has an interest. This position will report to the Senior Manager, Estates & Trusts, and may work with other department staff on various projects.
Compensation:
$28.00-$32.00 / hour

Essential Functions
* Administer gifts made to Audubon via beneficiary designation, including death benefits from retirement accounts, bank accounts, and insurance policies.
* Manage and maintain Audubon's files and records pertaining to all Trusts, estates, and other planned gifts received. Utilize Audubon's electronic Salesforce and ACT databases to maintain accurate and transparent data.
* Assist the Senior Manager, Estates & Trusts, on administrative maintenance and tracking of Trusts.
* Assist the Senior Manager, Estates & Trusts, with fiscal year-end and audit reporting.
* Develop skills needed to manage estate gifts under $100,000. This includes working with executors, personal representatives, trustees, and bank officers to obtain all applicable documents and ensure that Audubon receives its full interest in estates and trusts as expeditiously as possible.
* Oversee final administration and paperwork pertaining to matured and terminated Life Income Gifts, including Charitable Gift Annuities, Pooled Income Funds, and Charitable Remainder Trusts.
* Support the Senior Manager, and other Audubon Gift Planning team members, by streamlining communications and coordinating essential activities pertaining to estate administration.
* Communicate with Audubon's offices of Finance and General Counsel as needed, regarding compliance with decedent's wishes, including interpretation of terms of estate planning documents and correct allocation of bequest funds.
* Assist with Audubon staff to ensure that equity, diversity, inclusion and belonging principles are incorporated and followed in all aspects of our work.
Qualifications and Experience
* An Associate college degree or equivalent certificate in legal, paralegal, or business studies. Professional experience of 3+ years will also be considered.
* A minimum of two years of experience supporting development and/or legal office desired.
* Highly organized with a keen attention to detail.
* Strong oral and written communication skills; excellent interpersonal skills.
* Proficient with Microsoft Word, Excel, Outlook, and overall computer utility and databases.
* Experienced in formal business correspondence and communications.
* Must be methodical, analytical, accurate, diligent, highly organized, and proactive.
* Must have a professional and collegial manner and be able to represent Audubon well to a variety of internal and external constituencies through exceptional communication skills.
