DescriptionThe Coordinator of Campus Events and Outreach oversees the planning and implementation of special events on the Luther College campus, such as conferences, reunions, weddings, and camps. The Coordinator works closely with constituents both on- and off-campus to ensure the successful implementation of all events. This is a centralized position that is responsible for a broad range of interaction with clients holding varied interests, ranging from athletics to music to specialized academic programming. ESSENTIAL DUTIES and RESPONSIBILITIES:
- Manage scheduling, administration, logistics and budgets of special event usage of Luther's facilities, such as conferences, reunions, weddings, and camps by on- and off-campus clients. ? Hire, train, and supervise seasonal staff to assist with administration and implementation of summer events, including housing of event guests.
- Oversee the communication and collaboration of campus entities such as Dining Services, Facilities Services, Campus Safety, and Residence Life to ensure successful event implementation for clients.
- Provide guidance and support to the Athletic Department in the implementation of various athletic camps.
- Assist the Office of Programming and Outreach during the academic year with events such as Commencement, Christmas at Luther, Dorian Festivals, Center Stage Series, and music ensemble tours.
- Seek and use cost-effective, efficient, and user-friendly technological and software tools to streamline processes.
- Communicate efficiently and effectively with all on- and off-campus users of Luther College. Arrange for or provide support as needed for events to run smoothly.
SUPERVISORY RESPONSIBILITIES:
- Seasonal staff may include Summer Housing Coordinator and Athletic Camps Coordinator. ? Student workers
EDUCATION, EXPERIENCE and SKILLS:
- Education: A four-year college degree is required.
- Experience: Experience with Google Workspace and Program or Event Coordination is necessary. Music and arts management experience, athletics management/coordination experience, and supervisory experience is helpful. Knowledge of both choral and instrumental music and athletics is preferred.
- Overall, the candidate must be a committed, hard worker, with a willingness to learn unfamiliar content and who possesses a service-oriented mindset.
- Excellent communication, interpersonal, and organizational skills with demonstrated ability to manage details and multiple tasks at once.
- Ability to cultivate and develop inclusive and equitable working relationships with students, faculty, staff, alumni, parents, and friends of the college.
- Must be able to travel occasionally and work flexible and sometimes long hours during events, tours, select camp weeks, and various other times.
PHYSICAL DEMANDS and WORK ENVIRONMENT:
- Sedentary work most of the time. Includes exerting up to 25 pounds of force occasionally, and/or the ability to lift, carry, push or pull, or otherwise move objects with a negligible amount of force.
