Desired Start DateJob Summary The Coordinator of Special Programs will maintain programmatic support in the development, implementation, and/or marketing of program/project functions as they relate to the University Staff Council which is comprised of four districts and approximately 42 members. This role serves as the official secretary and treasurer for the council, working closely with the Executive Board, various committees, and council members.Additionally, this position will collaborate with multiple constituencies across campus and will also provide front desk coverage for the Office of the President and Chief of Staff for the University on a rotational schedule. While a designated workspace is provided, the individual must be mobile and available to work across multiple locations on campus.
Minimum Education and Experience - Bachelor's degree in related field. - A minimum of two years of experience providing support to programs or projects or an equivalent combination of education and experience.
Preferred Education and ExperiencePreferred Education and ExperienceInternal Candidates Preferred. Proficient in Microsoft Office Suite. Advanced proficiency in Microsoft Excel, MS TEAMS , Canva, PeopleSoft and WordPress. Keen attention to detail and superior organizational skills. Experience coordinating events. Experience managing confidential data and providing complex administrative support using tact, discretion, and diplomacy. Familiarity with the management of financial records and previous experience working in a university setting are also desirable.
Essential Duties and Responsibilities35% Program Assistance:
- Support for special projects including awards, scholarships and yearly elections process
- Maintain the staff council website and TEAMS channel as well as historical records
- Attend regular meetings and make regular purchases for the Staff Council
- Ensure financial data is maintained in accordance with policy, and provide necessary reports while reconciling accounts to support budget management.
- Serve as subject matter expert on Staff Council bylaws and policies and procedures
25% Event & Project Coordinating :
- Coordinate meetings and special events
- Manage digital files, databases, spreadsheets, and checklists
- Maintain inventories for fundraisers and promotional items
35% Administrative Support : •
- Serve as Staff Council Secretary. Responsible for the completion of meeting minutes and agendas for both the monthly Staff Council Meeting and the monthly Executive Board Meeting, while ensuring the timely submission of minutes from all standing committees
- Assist the President and Vice President and Executive Board of Staff Council as necessary •
- Process travel and expense reimbursements
- Greet and assist visitors, clients, and staff in a professional and friendly manner. •
- Monitor and maintain the appearance of the front desk area.
- Ensure smooth handover of duties during shift transitions.
5% Other duties as assigned
Physical Demands and Working Conditions While performing the duties of this job, the employee is regularly required to sit and occasionally required to walk or drive to locations on campus. The ability to push/pull a cart is essential, as is the ability to lift to 25lbs.

Additional InformationRemote Work NoticeA hybrid remote work schedule may be available after the 6-month probationary period. Employee must be located within the Dallas/Fort Worth Metroplex area and have the ability to be on campus for work activities as scheduled and/or with 24-hour notice.
