Position Summary:

Responsible for providing support to all areas of the Patient Accounting department with regard to all incoming correspondence and insurance documents. Correspondence Representatives are responsible for managing all aspects of incoming documents to include mail, fax, lockbox, phone and other requests. Performs research and correspondence functions to assist with responses to customer and insurance company inquiries.

Major Position Responsibilities:

The position characteristics reflect the most important duties, responsibilities and competencies considered necessary to perform the essential functions of the job in a fully competent manner.   • Maintains a safe, clean working environment, including unit based safety and infection control requirements.
  • Responsible for efficiently handling, processing and scanning of incoming documents when delivered to Patient Accounting. Adheres to Correspondence Distribution and Scanning department procedure.
  • Responsible for managing and completing daily, monthly and quarterly tasks, including, but not limited to processing self-pay monthly statements, mailing and follow-up on institutional accounts, processing bad debt agency returns, Charity processing, and internal/external audit projects.
  • Responsible for updating information received from external agencies for patients who have been identified as having insurance or recently obtained Medi-Cal. Accounts are updated according to department procedures to ensure all accounts are appropriately billed correctly and timely.
  • Assists with educating team members to facilitate an efficient flow of operations and projects.
  • Responsible for maintaining and coordinating storage records, to include ordering and returning of records, labeling storage boxes, and maintaining log books.
  • Responsible for updating new or corrected address information when notified by vendors or agency.
  • Responsible for assisting in various aspects within the Support Services team as needed.

Qualifications:

  • Requires at least one-year experience in a healthcare environment.
  • Able to perform basic mathematical calculations, balance and reconcile numbers.
  • Must have the ability to read, understand and interpret healthcare correspondence.
  • Requires Microsoft Word, Excel and Outlook knowledge.
  • Excellent human relations skills including listening, conflict resolution, coaching, and team building.
  • Must have ability to demonstrate flexibility in response to unexpected change in work volume and hospital staffing needs.
  • Process oriented skills with ability to handle multiple projects simultaneously by prioritizing responsibilities and meeting deadlines required.
  • Ability to ensure the confidentiality and rights of patients and the confidentiality of hospital and departmental documents required.
  • Ability to speak Spanish, preferred.

Education:

  • High School diploma or GED, required.
