The Position
The City of Maple Grove is seeking a part-time Customer Service Representative in the administration department! In this role, you will provide the frontline of customer service to the government center visitors and residents of Maple Grove. You will also be tasked to perform various general clerical and office support activities for all departments. As the Customer Service Representative, you will work to ensure that all visitors are directed toward their desired locations and will assist the general public by answering inquiries via phone and email. This is a job-share position at 20 hours per week, offering part-time benefits
Wednesdays 12:00 - 4:30 PM, Thursdays & Fridays 8:00 - 4:30 PM

* Operates main telephone console by answering and directing all calls; answers questions and directs individuals; provides accurate and timely information on city policies and procedures; provides customer service to the general public and individuals contacted in the course of work.
* Receives and sorts incoming mail for the organization.
* Provides clerical support including but not limited to assisting customers with general questions; coordinates use of conference rooms; maintains inventory and stocks items for display at assigned location(s); maintains various mailing lists which may involve the use of word processing, spreadsheet, database or other software application skills.
* May schedule passport appointments.
* Assists with training temp-casual and seasonal staff; answers questions.
* Orders and maintains general office supplies for the front desk and the organization.
* Serves as backup to alternate Customer Service Representative as needed.
* Operates a variety of office equipment, including but not limited to telephone, computer, fax, and copier.
* Performs other related clerical duties and projects as assigned.
Knowledge of:
* General city procedures, operations, and related information.
* Modern office procedures, methods, computer equipment, and programs.
* Local geography.

* Communicate effectively and display strong interpersonal skills required to be an essential link between the City and the public.

Equivalency: An equivalent combination of education and experience closely related to the duties of the position may be considered.
Need to have:
* High school diploma or equivalent.
* One or more years of clerical experience.
Nice to have
* General office software program familiarization.
* Experienced responding to passport-related questions.
* Experience working within a municipality
* Notary Public
* Customer service experience
* Experience working with elections
* Ability to speak multiple languages.
