The Dance Center Assistant provides administrative support for the Harkness Dance Center which includes The School of Dance, Dance Education Laboratory (DEL), Dance Movement Therapy, Artist in Residence Program, and Harkness performance series. The position requires a forward-facing employee with excellent customer service, administrative, and organizational skill-sets and the successful candidate will be excited to work onsite at 92NY. The position will require a well-honed ability to multitask between administrative responsibilities and patron relations and the Harkness Dance Center seeks a candidate with a deep knowledge of dance to fill this role.
Job Responsibilities Include
Dance Center Administration, Rosters, Registration & Schedules:
Assist with updating comp lists for Performances and update schedules and rosters for School of Dance classes, Dance Education Laboratory (DEL). Track registrations, monitor and follow up on missed class attendance. Review Resource Scheduler and update space requests for all dance center programs weekly.- Communicate with Harkness Dance Center patrons about events and send course-related emails and materials.
- Track and organize DEL teacher discounts, student work, data entry of grade, and create certificates.
- Organize office supplies, equipment, and ordering requests with a focus on cost control, while ensuring all equipment and supplies are in working order.
- Organize and execute print and photocopy requests and mailings.
- Organize dance center apparel, shoes, etc.
- Assist with onsite payments and track credit card machine purchases by printing daily reports.
- Support technology with online course edits, create surveys, upload and manage videos, transcription, start Zoom meetings, and tech troubleshooting.
- Assist Harkness Dance Center Directors with scheduling, email tracking, email clean out, and any additional administrative assistant work.
- May be assigned other tasks and duties reasonably related to their job responsibilities.
Dance Center Set Up:
- Perform daily rounds and check studios to ensure all spaces are clean and setup prior to classes.
- Communicate with 92NY facilities department to ensure that rooms are properly set up, in a timely manner, with all the required equipment and materials for all dance center programs.
- May be assigned other set up related tasks and duties reasonably related to their job responsibilities.
Front of House:
- Serve as a liaison for onsite faculty (class props, speakers, etc.).
- Interact and engage with patrons, faculty and students, including responding positively and efficiently to questions or concerns raised via phone/email/in-person and providing effective pragmatic solutions.
- Performance and event support when applicable (i.e., artist hospitality, box office and backstage support, costume organization for dance recitals, dance performances, special events).
Experience, Education, & Skills Desired
- 2+ years' experience in an administrative setting and in arts education.
- A demonstrable knowledge of and interest in Dance.
- Previous front of house or customer facing experience.
- Strong organizational, verbal, written and interpersonal skills.
- Must be proficient in the use of Microsoft Office suite (Word, Excel, PowerPoint and Access) with previous Tessitura experience a plus.
- Ability to organize, prioritize and execute responsibilities in the face of conflicting priorities or unexpected situations.
Work Environment & Requirements
Onsite:
Tuesday-Thursday 1:00 p.m. - 9:00 pm, Friday 10:00 a.m. -6:00 p.m., Saturday 8:00 a.m. -4:00 p.m., with a 45-minute unpaid lunch break.
Occasional, additional weekend support when needed for performances and events.
