Data Entry Specialist is responsible for inputting data and making changes to existing databases. Their duties include inputting data from paper documents into digital spreadsheets, updating order statuses for customers and double-checking their work to make sure they inputted data correctly.Principle Accountabilities:
  • Updates, transfers or originates data from paper formats into computer files or database systems using keyboards, data recorders or optical scanners. Organizes existing data in spreadsheets and tables; verifies outdated data and makes any necessary changes to records.
  • Creates spreadsheets with large numbers of figures without errors; Verifies data by comparing it to source documents. Uses data and software to track important customer information and orders; updates customer information in a database.
  • Retrieves data from the database or electronic files as requested; performs regular backups to ensure data preservation. Inputs text-based and numerical information from sourced documents. Reviews data for deficiencies or errors.
  • Sorts and organizes paperwork after entering data to ensure data is not lost; searches for and investigates information contained in files; performs regular database backups to secure data.
  • Operates common office equipment, like scanners and printers.
  • Provides occasional administrative support.
  • Sorts and organizes hard copies of paperwork after entering data electronically.
  • Assists with special projects that require large amounts of data entry.
  • Provides data entry support across departments on an ad-hoc basis.
  • Generates reports, stores outputs in database, and performs backups as required/requested.

Knowledge and Skills:
  • Must have exceptional customer service skills.
  • Employees shall be technically proficient in the skills necessary to fulfill the job requirements, including ability to speak, understand, read and write English fluently.
Education:
  • High School Diploma or equivalent is required.
Qualifications:
  • Minimum of three (3) years of experience as a data entry clerk or data entry specialist.
  • Fast typing skills: Knowledge of touch-typing system is preferred.
  • Working knowledge of office equipment and computer hardware and peripheral devices.
  • Basic understanding of databases.
  • Good command of the English language, both oral and written.
  • Excellent organizational and time management skills.
  • Ability to multitask and must be detail oriented.
  • Ability to understand and follow specific instructions and procedures.
  • Able to work independently with little supervision; willingness to work as a team player.
  • Experience working with Microsoft Office Suite, (i.e., Microsoft Word, Microsoft Excel, Microsoft PowerPoint), Adobe Acrobat, and Google Workspace.
Duty Hours / On-call Requirements:
  • Generally speaking, the corporate office is open 8 a.m.-5 p.m.; however, during times of rapid mobilization, hours may be extended to include days, nights, weekends and holidays. The are opportunities across a multitude of locations and shifts.

Travel:
  • As required to satisfy the contractual obligations. Generally, travel is limited to commute from residence to the worksite. Commute is non-compensatory. All official travel is government-funded.

Physical Requirements:
  • Must be able to sit for more than 8 hours per day.
  • Must be willing to work overtime if necessary.
