Job Type Full-timeDescriptionRoles and Responsibilities The Dental Billing and Front Office Support Assistant is an active and flexible member of the Jefferson County Health Department mobile dental team that provides high quality dental care to communities in Jefferson County. This position may work on the pediatric or adult mobile unit based on scheduling and program needs. This role will be tasked with front desk and billing duties and may rotate to other dental office duties as needed. This position will work to promote a positive patient care experience through scheduling appointments, obtaining prior authorizations, discussing patient treatment, and performing dental office duties as necessary. The Dental Billing and Front Office Assistant plays a crucial role in ensuring efficient and accurate billing processes within the dental practice. This position requires a meticulous individual with a strong understanding of dental billing procedures, insurance claims, and customer service. The Dental Billing and Front Office Support Assistant collaborates closely with the administrative and clinical teams to streamline billing operations and enhance the patient care experience.Essential Duties 1Patient scheduling and appointments:
  • Gather all required documentation and register patients according to the electronic health record (EHR) guidelines.
  • Verify insurance eligibility and benefits.
  • Obtain referrals and pre-authorizations as necessary for procedures.
2. Ensure timely and accurate processing of Insurance claims:
  • Review, update, and determine accurate codes for dental claims.
  • Prepare, review, and transmit claims using billing software, both electronically and via paper processing.
  • Ensure each insurance payment aligns with contracts.
  • Follow up on unpaid claims within standard billing cycle timeframes.
  • Review patient bills for accuracy and completeness, obtaining any missing information.
  • Review accounts for insurance or patient follow-up.
  • Contact insurance companies to address discrepancies in payments, if needed.
  • Research and appeal denied claims.
  • Review insurance payments for accuracy and post them accurately to client accounts through the dental software program.
  • Billing and Coding:
i. Review and analyze client medical records for medical billing and payment processing purposes ii. Identify and rectify client account errors. iii. Analyze explanation of benefit (EOB) forms to verify accurate payments, rectifying and resubmitting denied claims promptly. 3. Provide financial management:
  • Manage patient accounts for accuracy and completeness.
  • Generate patient statements.
  • Establish patient payment plans and manage collection accounts.
  • Generate reports to assess the status of claims, programs, grants, or patient accounts.
  • Reconcile payment receipts
  • Maintain current knowledge of insurance guidelines including Medicaid and Medicare plans.
  • Generate, review, and send patient statements and handle collections on unpaid accounts.
  • Monitor accounts receivable and bad debt balances, providing reports to the Dental Supervisor.
  • Supervise credit card processing and maintain associated documentation.
  • Maintain and update the dental fee schedule.
4. Patient education and communication:
  • Provide accurate dental information and education to patients and parents.
  • Address all patient or insurance telephone inquiries related to assigned accounts.
  • Address administrative staff questions and resolve billing complaints.
5. Compliance and management:
  • Collaborate effectively with staff, management, and insurance companies to ensure compliance with applicable regulations and JCHD policies and procedures.
  • Proactively notify management of issues related to dental claims and revenue management.
  • Provide proactive feedback for improvements in quality, efficiency, cost savings, productivity, systems, and procedures.
  • Maintain accurate and organized work records, documents, and files.
  • Ensure strict confidentiality and adherence to all HIPAA guidelines and regulations.
6. Mobile clinic duties:
  • Assist with the opening and set up of mobile van accessibility.
  • Assist with transporting the mobile van for maintenance and updates.
  • Assist with additional tasks as needed.
RequirementsQualifications & Education Requirements:
  • High School diploma with two years of experience in dental claims processing.
  • Demonstrated proficiency in coding and comprehensive knowledge of insurance guidelines, including Medicare, Medicaid, and third-party insurance, and medical terminology.
  • Excellent computer skills, including proficiency in electronic medical record/billing practice software, word processing, and spreadsheet applications.
  • Strong communication abilities for effective phone contacts with patients and insurance payers to address issues.
  • Valid Driver's license.
Foundational Public Health Services: Ability to follow the Missouri Foundational Public Health Services model's capabilities and areas of expertise as necessary for this position. Continuing Education: Although not mandatory, completing continuing education coursework is encouraged to maintain currency in the discipline. Additionally, emergency response training courses must be completed within established time frames, as identified by ordinance, statute, or administration. Annually, JCHD administration will require various coursework completions, not specific to any discipline, that is deemed beneficial to the organization as a whole. Work Conditions: This position entails work that may be required at multiple locations, involving minimal lifting/carrying. There may be occasional evening and/or weekend work, and individuals should be prepared to work in reasonable adverse weather conditions such as snow, rain, or heat. All staff at JCHD are designated as first responders during public health emergencies. Therefore, employees must be available 24/7/365 if called upon during an emergency event. Additional Notes: All JCHD employees are considered First Responders in a Disaster Response Situation. All employees must report for duty at the Director's request during a public health emergency.
