Job Description Be Well Texas is part of UT Health San Antonio, a premier academic research center, whose mission is to make lives better through excellence in education, research, health care and community engagement. The Department Administrator position will be responsible for the financial and administrative activities of a department under the authority of the Department Chair and/or the Finance Head in the respective school. Activities include, but are not limited to, budget development, managing and monitoring expenses and revenues in clinical, academic, and research operations; management of short and long term operations such as space, information technology, and inventory; oversight of research, education, revenue cycle operations, and human resource activities. Responsibilities
  • Oversees the development and execution of clinical, research, educational and administrative strategic planning initiatives, including alignment with LSOM and Institutional priorities.
  • Serves as point of contact and works in partnership with various institutional offices and Central Support Centers for all business and administrative functions for the department, including financial, business operations, clinical revenue cycle monitoring, staff management, faculty administration, legal issues, contract management, regulatory issues, internal and external audits, procurement processes, space management, grant management, information technology, etc.
  • Works collaboratively with the departmental leaders to assess productivity and efficiency of operations for the purpose of ensuring performance and achievement of goals (i.e., departmental workflow, laboratory / programmatic operations, faculty productivity, etc.).
  • Develops and maintains productive relationships with all levels of administration, faculty, and outside organizations to coordinate center business, accomplish directives, and facilitate the resolution of issues.
  • Directly manages and maintains the department's all-funds budget, including financial planning efforts with an emphasis on executing strategic initiatives. Coordinate the compilation of and prepare operational and financial reports and analysis setting forth progress, adverse trends and appropriate recommendations or conclusions.
  • Oversees all details related to contract management, including negotiations, deliverables, invoicing, accounts receivable, reporting, and operations.
  • Serves as point of contact for all staff related issues and transactions, including management of all personnel transactions and justifications. Manages and sets / adjusts rates of pay and hours of work. Oversees staff on-boarding, including training, access, schedules, culture integration, etc.
  • Manages employee development and retention by effectively leading, motivating, and mentoring academic / clinical personnel.
  • Manages complaints and grievances and discipline when necessary. Develops, communicates, and manages productivity standards, goals, and expectations for departmental staff.
  • Serves as the point of contact for all faculty related business and administrative processes and transactions and supports promotion and tenure processes. In concert with the Department chair, develops, presents, and manages the faculty compensation plans, faculty assignments and deployment.
  • Develops, presents, and maintain faculty productivity and efficiency reports across all missions. Oversees faculty on-boarding procedures, including credentialing, privilege payer enrollment, access, schedules, and culture integration, etc.
  • Provide administrative direction and coordination in the formulation, interpretation and administration of current and long-range policies, procedures and programs.
  • Oversees all non-salary transactions, capital expenditures, following all procurement policies and procedures. Manages and tracks all details related to LSOM and institutional commitments to the department, including reporting on deliverables and invoicing.
  • Oversees the department's clinical revenue cycle functions, including identifying issues and resolutions to optimize charge capture, lag, coding accuracy, initial denials, and controllable write-offs.
  • Provides administrative leadership and works in partnership with Research Administration Services Center for all extramural research processes, including clinical trials, grant submissions and post-award activities.
  • Serves as the point of contact for principal investigators' business and administrative needs.
  • Oversees the department's use of space, including assignment, ensuring efficiency of use, maintenance and coordination of renovations.
  • Performs all other duties as assigned.
Qualifications EDUCATION:
  • Bachelor's degree in Healthcare Administration, Business Administration, Finance or a directly related field is required.
  • Master's degree is preferred.
EXPERIENCE:
  • Five (5) years accounting or related business experience to include three (3) years of supervisory experience is required.
