The Department Administrator plays a critical role in ensuring the smooth operation of departmental activities. This position requires a detail-oriented and organized professional with strong interpersonal and administrative skills to manage staffing, procurement, documentation, and coordination efforts.
Position Overview:
- Role: Department Administrator
- Pay Rate: $36-$37 per hour (weekly pay).
- Contract Length: Until 12/26/2025, with the potential for extension or permanent conversion.
Key Responsibilities:
Vendor Coordination & Staffing Support:
- Collaborate with staffing vendors to gather resumes for open positions.
- Screen resumes and coordinate interviews with hiring managers.
- Serve as the liaison between staffing vendors and internal teams.
Procurement & Documentation Management:
- Submit and track purchase requisitions through internal systems.
- Process documents for approvals and signatures electronically.
- Maintain accurate meeting minutes and document transmittals to vendors.
Content Development & Data Organization:
- Edit and format memos and presentations for professional distribution.
- Create and maintain Excel templates for data tracking and reporting.
Event & Travel Coordination:
- Manage schedules, meetings, and conference room bookings.
- Organize travel arrangements and event catering.
- Plan departmental events and celebrations.
Required Skills & Qualifications:
Education:
- Bachelor's Degree (required).
Technical Skills:
- Proficiency in Microsoft Excel (intermediate level).
- Knowledge of MS Office Suite (Word, Outlook, PowerPoint).
- Experience with MS SharePoint for collaboration and document management.
