Job Description :

The Department Administrator plays a critical role in ensuring the smooth operation of departmental activities. This position requires a detail-oriented and organized professional with strong interpersonal and administrative skills to manage staffing, procurement, documentation, and coordination efforts.

Position Overview:

  • Role: Department Administrator
  • Pay Rate: $36-$37 per hour (weekly pay).
  • Contract Length: Until 12/26/2025, with the potential for extension or permanent conversion.

Key Responsibilities:

Vendor Coordination & Staffing Support:

  • Collaborate with staffing vendors to gather resumes for open positions.
  • Screen resumes and coordinate interviews with hiring managers.
  • Serve as the liaison between staffing vendors and internal teams.

Procurement & Documentation Management:

  • Submit and track purchase requisitions through internal systems.
  • Process documents for approvals and signatures electronically.
  • Maintain accurate meeting minutes and document transmittals to vendors.

Content Development & Data Organization:

  • Edit and format memos and presentations for professional distribution.
  • Create and maintain Excel templates for data tracking and reporting.

Event & Travel Coordination:

  • Manage schedules, meetings, and conference room bookings.
  • Organize travel arrangements and event catering.
  • Plan departmental events and celebrations.

Required Skills & Qualifications:

Education:

  • Bachelor's Degree (required).

Technical Skills:

  • Proficiency in Microsoft Excel (intermediate level).
  • Knowledge of MS Office Suite (Word, Outlook, PowerPoint).
  • Experience with MS SharePoint for collaboration and document management.

Communication Skills:

  • Strong written and verbal communication abilities.

Soft Skills:

  • Excellent organizational and time-management skills.
