Department:Location:Belknap CampusTime Type:Full timeWorker Type:RegularJob Req ID:R105124Minimum Requirements:High School Diploma/GED with four (4) yrs of related experience or an equivalent combination of education and experience.Position Description:The Department Coordinator III will provide accounts receivable and recruiting support for the Physical Plant business office.Tracks and reconciles outstanding work order invoices identified in Maximo reports. Coordinates with vendors and foremen to obtain outstanding material invoices from work orders in a timely manner. Work with the billing financial assistant to ensure they are in receipt of invoices that will result in compliance with University's Time Period for Payment policy. Review Procard log sheets for work order accuracy. Track billing and work order information related to insurance claims and preventative maintenance.Provide support for the department recruiting process. Assists with departmental uniform ordering process. Updates and oversees the performance evaluation process. Maintains departmental lists and data on existing reports/spreadsheets.Essential Duties and Responsibilities Accounts Receivable Support:
  • Prepares and creates reports in Maximo on an ad hoc basis to complete invoice audits.
  • Communicates with vendors and foremen to obtain invoices in a timely manner.
  • Ensures that invoices contain the required information for accurate processing.
  • Works closely with billing financial assistant to ensure university payment policies are adhered to by obtaining outstanding invoices in a timely manner.
  • Ensures work order number accuracy on Procard log sheets by researching in Maximo.
  • Maintain, research, track, and compile information for billing on insurance claims. Coordinating with Risk Management and department staff for submitting completed claims.
Recruiting process support:
  • Assist with uniform ordering process as needed. Reconcile invoices for payments and verify receipt of uniforms. Work with vendors to add new hires and remove employees who leave.
  • Performance Evaluations - provide evaluation forms to supervisors and assist in receiving them back and submitting to HR. Compile scores to submit to HR/Business Ops.
  • Assist with updating established reports/spreadsheets for accuracy.
