This position provides strategic leadership in gift processing, database integrity, reporting, data analysis, and system improvements. The Director of Advancement Services oversees key functions to support fundraising and constituent engagement goals, including business requirements development, information management and analysis, and fundraising systems support. They ensure the integrity of the database and translate data into actionable insights to drive fundraising strategies and measure success. The ideal candidate will develop and implement database policies, ensure data accuracy, and translate complex data into actionable insights to support fundraising and engagement strategies. Strong skills in both long-term and short-term planning are essential for success in this role. ESSENTIAL DUTIESDatabase & Systems Management
  • Oversee the Slate database system for the Advancement division, ensuring data integrity and managing reports, gift, and demographic data entries.
  • Collaborate with Information Technology to address long-term priorities and issues related to the Advancement software and alumni/development database.
  • Develop and implement policies and procedures for the database, ensuring compliance with the Donor Privacy Policy and the Family Educational Rights and Privacy Act (FERPA).
  • Source and manage equipment, supplies, and special purchases, ensuring compliance with purchasing procedures and maintaining detailed records of hardware, software, and license agreements.
  • Oversee the document management solution and the online solution in Slate.
Strategic Team Management
  • Set departmental goals and standards, and lead high-level projects to meet strategic objectives.
  • Manage relationships with contractors and vendors, ensuring services and supplies meet the needs of the department.
  • Oversee a team of data specialists and coordinators, providing career development, managing performance reviews, and ensuring efficient completion of job duties.
  • Identify training needs and provide training for users of Slate.
Data Analysis & Reporting
  • Generate complex alumni lists, gift reports, direct mail solicitation lists, and segmented phonathon data files using the Slate system, catering to the needs of the Law School, Graduate School, and the Undergraduate College.
  • Produce progress, financial, campaign, and stewardship reports to support fundraising programs and provide necessary information to decision-makers.
  • Update and maintain database records globally to reflect solicitation responses and college correspondences.
  • Import constituent data (ie.student education information, student activities, athletic activities, overseas program participation, constituent relationship and biographical information, graduation information, faculty & staff information) into Slate from other data sources.
  • Respond to major gifts, corporate/foundation relations, and gift planning departments, regarding the processing, reporting, and logging of major and other gifts, the processing of requests for prospect research, and other data maintenance activities.
  • Consult and assist development staff in devising database information and reporting systems in support of their fundraising programs. Investigate and provide solutions for meeting department reporting needs.
Administrative Management & Compliance
  • Ensure that gift processing and acceptance policies adhere to the institution's Donor Privacy Policy, Gift Acceptance Policy, IRS regulations, and the Donor Bill of Rights.
  • Maintain compliance with FERPA regarding data sharing and publishing, ensuring data privacy and security and acts as the data and system custodian for Advancement Services systems and files.
  • Work with the Business Office and third-party service providers to maintain state charitable registrations and compliance with relevant legal requirements.
  • Develop, maintain, and run reports, and queries to monitor the integrity of data stored in the database.
  • Develop and maintain a dynamic list of policies, procedures and regulations related to the use of the College's Advancement systems.

  • Proficient understanding of database structures and systems, specifically with Slate and Microsoft Office products.
  • Extensive knowledge of fundraising operations, database management, gift processing and acknowledgements, and biographical maintenance.

  • Superior project management skills to handle multiple projects simultaneously under tight deadlines.
  • Proficient skills in query and report writing, particularly within database systems like Slate.
  • Excellent ability to communicate effectively both orally and in writing, ensuring clear and effective dissemination of information across all levels of the organization.
  • Strong ability to manage a diverse team, providing leadership, career development, and performance management.
  • Extremely capable of adapting to new software quickly and efficiently.

REQUIRED EDUCATION / EXPERIENCE
  • Bachelor's Degree in a relevant field.
  • Three years of integrated mainframe database experience.
  • Two years of supervisory experience.
  • Two years of project management experience.
  • Knowledge and experience with the Slate Advancement database system.
PREFERRED EDUCATION / EXPERIENCE
  • Master of Business Administration (MBA) or a related master's degree.
  • Higher education development work experience.
  • Experience using the Slate Advancement database system specifically within a higher education context.

PAY RATE
  • FLSA Status: Exempt
  • $85,000 per year commensurate with experience and qualifications
