Job Description:

We are seeking a highly motivated and experienced individual to join our team as Director of Operations. This is a full-time, in-office position requiring a deep understanding of the music and entertainment industry, exceptional organizational skills, and a passion for streamlining processes and driving efficiency. The Director of Operations will play a crucial role in overseeing the day-to-day operations of our agency, ensuring smooth event execution, efficient resource allocation, and excellent client and artist satisfaction. This role will also be responsible for managing the operations team and acting as a liaison between the CEO and the team.

Responsibilities:

  • Oversee all operational aspects of the agency, including event planning and execution, artist and client onboarding, contract management, and financial administration.
  • Develop and implement strategies to optimize operational efficiency, streamline workflows, and improve communication across departments.
  • Manage budgets, track expenses, and ensure accurate invoicing and payment processing.
  • Maintain a deep understanding of industry trends and best practices to identify areas for improvement and innovation.
  • Manage the operations team, including hiring, training, delegating tasks, and conducting performance reviews.
  • Set clear goals and expectations for the team, and track progress towards key performance indicators (KPIs).
  • Foster a positive and collaborative work environment, and provide ongoing support and development opportunities for team members.
  • Act as a liaison between the CEO and the operations team, communicating updates, initiatives, and feedback effectively.
  • Oversee the artist roster and develop strategies for talent acquisition and development.
  • Collaborate with artists and their representatives to negotiate contracts, fees, and travel arrangements.
  • Ensure that artists' needs are met and that they have a positive experience working with the agency.
  • Manage a portfolio of client accounts (venues, and nightlife, hospitality brands), building strong relationships and understanding their needs to provide tailored solutions.
  • Ensure client satisfaction and retention by providing excellent service and proactive communication.
  • Collaborate with the sales team to generate leads, identify new business opportunities, and develop sales strategies.
  • Oversee the preparation of sales presentations and proposals.
  • Coordinate all event logistics, including scheduling, vendor management, and equipment handling (with support from AV techs).
  • Create detailed timelines and ensure that all parties are informed and prepared for each event.
  • Provide on-site support for events as needed.
  • Manage inbound communications (phone, email, messages) and provide proactive updates to clients and artists on leads, sales, and events.
  • Ensure that all client and artist inquiries are handled promptly and professionally.
  • Maintain accurate records in the CRM and booking systems, and update content in servers, brochures, and email communications.

Qualifications:

  • 5+ years of experience in operations management, preferably in the music, entertainment, or events industry.
  • Strong understanding of artist representation, talent booking, and contract negotiation.
  • Excellent communication, interpersonal, leadership, and presentation skills.
  • Proven ability to build and maintain relationships with clients and artists.
  • Exceptional organizational, project management, and time management skills, with a keen eye for detail and the ability to prioritize, problem-solve, and manage multiple projects simultaneously while remaining calm under pressure.
  • Ability to work independently and as part of a team.
  • Passion for music and the entertainment industry.
  • Proficiency in Google Suite, basic knowledge of A/V equipment, accounting software, CRM platforms, and project management tools.
  • Ability and willingness to travel and work some nights and weekends.
