As a trusted community partner, WellLife Network fosters a nurturing environment where everyone has the opportunity to thrive and realize their fullest potential.Position Summary: The Director of Revenue Cycle position at WellLife Network is a leadership role focused on overseeing all activities related to the revenue cycle, ensuring accurate and timely billing, collections, and cash flow management across the organization. The Director develops and implements policies and procedures to ensure compliance with Federal, State, and regulatory billing and cash collection laws, while optimizing revenue cycle operations across the agency.Essential Accountabilities:
  • Revenue Cycle Management: Lead the Revenue Cycle team to meet financial goals by driving efficient and effective operations across all functions.
  • Operational Oversight: Manage key operational areas, including Accounts Receivable, Billing, Collections, and cash flow analysis. Perform monthly billing close in conjunction with the Senior Controller and Finance Team.
  • Performance Tracking: Monitor and track revenue cycle metrics such as denial reports, AR days, and cash flow, providing financial forecasting and month-end reporting.
  • Timely and Accurate Billing: Ensure the accurate, timely, and complete processing of accounts, including follow-up on denials and underpayments.
  • Business Analytics & Reporting: Develop, implement, and maintain standard business analytics and management reports (including dashboards), offering actionable insights to improve departmental performance.
  • Resource Allocation: Coordinate the provision of resources for revenue cycle management and evaluate the productivity and performance of RCM staff.
  • Internal Controls & Compliance: Identify and implement internal controls for the department, ensuring compliance with regulations and monitoring adherence to revenue cycle policies.
  • Cross-functional Collaboration: Work closely with multidisciplinary teams to develop and refine processes that maximize reimbursement for WellLife Network.
  • Regulatory Compliance: Stay informed on regulatory changes affecting the revenue cycle, advising departments on their impact and updating policies to ensure compliance with Federal, State, and insurance requirements.
  • Contract Management: Negotiate and manage contracts with insurance carriers to expand the client network and ensure proper reimbursement.
  • Provider Relations: Manage provider relations with participating insurance carriers, addressing issues related to billing and reimbursement.
  • Credentialing & Recredentialing: Oversee the credentialing and re-credentialing of WellLife Network's sites and programs with Medicaid, Medicare, MCOs, and commercial insurance plans.
  • Managed Care Billing: Ensure managed care contracts are billed in accordance with contractual requirements and submit information to insurance companies promptly.
  • Staff Supervision & Development: Supervise, train, and develop Revenue Cycle staff to foster a high-performing team
  • Payroll & Attendance Management: Approve staff payroll and attendance in accordance with company policies.
  • Leadership Meetings: Participate in regular management meetings to discuss A/R, revenue maximization, and receivables management.
  • Professional Development: Stay current on trends in revenue cycle management and behavioral health delivery systems through ongoing professional development, seminars, and workshops.
  • Billing Department Goals: Set clear goals for the billing team, including billing, follow-up, and cash posting, and provide leadership to achieve these goals.
  • Accounts Receivable Management: Ensure that accounts receivable are maintained at optimal levels and that systems are operating efficiently.
  • EHR Coordination: Collaborate with the EHR team to maintain service codes and reimbursement rate updates within the AVATAR system.
  • Other Duties: Perform other duties as assigned by supervisors to support departmental and organizational goals.
  • Qualifications
    • Education: Bachelor's degree required; Master's degree preferred.
    • Experience: Minimum of 5 years of progressive leadership experience in revenue cycle management, preferably in the healthcare or behavioral health sectors.
    • Skills:
      • Strong interpersonal and communication skills, with the ability to engage effectively at all levels of the organization and with external consultants.
      • Strong analytical and financial skills, with attention to detail and the ability to manage complex processes.
      • Extensive knowledge of Federal and State regulations governing third-party payers, particularly in New York State.
      • Proficiency in Microsoft Excel, PowerPoint, Word, and familiarity with Electronic Health Record (EHR) systems such as AVATAR and Precision Care.
