Director Vice President, Operations (Remote Office Manager)

Key Responsibilities

  • Direct management of office operations, acting as the primary liaison with our coworking space provider.
  • Supervision of lease agreements, contract negotiations, and office relocations when necessary.
  • Leadership of sustainability initiatives, including EcoVadis assessments, and monitoring related performance metrics.
  • Oversight of IT equipment, hardware leasing programs, and cybersecurity awareness training.
  • Management of the Operations Coordinator's activities, ensuring support for recruiting, social media, and office administration.
  • Maintenance of vendor relationships, negotiation of contracts, and management of annual insurance compliance.
  • Administration of budgets, software platforms, and cost control measures.
  • Oversight of payroll systems, bonus distributions, and contractor payments.
  • Execution of onboarding and offboarding processes, including conducting surveys and performance evaluations.
  • Ensuring compliance with employment regulations and overseeing benefits administration.
  • Provision of training for leadership on HR best practices and management of employee relations with confidentiality.
  • Handling of H-1B sponsorships while supporting diversity and inclusion initiatives.
  • Management of QuickBooks, accounts payable and receivable, and aiding in tax compliance tasks.
  • Review and editing of financial documentation such as Statements of Work (SOWs) and client billing grids.
  • Collaboration with the company's CPA for end-of-year reporting and audits.
  • Planning and execution of employee engagement initiatives, including team-building activities and annual celebrations.
  • Conducting quarterly engagement surveys to gather feedback and implement positive change.
  • Direct support to the CEO, including managing correspondence, note-taking, and calendar organization.
  • Assistance with light travel arrangements and occasional personal tasks for the CEO.
  • Required Skills

  • A minimum of 7 years of experience in operations, HR, or administrative leadership positions.
  • In-depth knowledge of employment regulations, HR best practices, and proficiency in tools such as QuickBooks and HRIS/PEO systems.
  • Demonstrated ability to manage sensitive information with discretion and uphold confidentiality.
  • Exceptional organizational and multitasking capabilities with strong attention to detail.
  • An entrepreneurial mindset with the ability to adapt to evolving responsibilities.
  • Experience with sustainability initiatives, particularly EcoVadis, is advantageous.
  • Preferred SHRM-CP certification, though not mandatory.
