The Dispatcher / Yard Coordinator plays a crucial role in managing and coordinating the logistical aspects of the companys operations. This includes dispatching CDL drivers, coordinating equipment and material moves, and collaborating with the yard/plant manager and CAO to complete tasks. The role requires effective communication skills, strong organizational abilities, and a knowledge of DOT regulations.
JOB DESCRIPTION:
Supervisory:
- Manage CDL drivers.
- Provide feedback and conduct performance reviews with your team.
- Ensure confidentiality of data.
- Communicate staffing needs to HR and interview candidates as needed.
- Report any employee attendance, tardiness, or job performance issues to HR.
Dispatching and Logistics Coordination:
- Dispatch truck and equipment moves for upcoming and active jobs.
- Monitor and coordinate for supplies and material delivery.
- Review drivers hours of service for available hours and dispatching.
- Prioritize and optimize work schedules for efficiency.
- Schedule and assign materials (bedding, flowable material, concrete, asphalt, etc.) for upcoming jobs and as needed.
- Monitor the GPS to track jobs and equipment.
- Setting up contracts/leases
- Monitor leases driving hours
- Reconciliation of invoices with actual work performed by leasers
- Collaborating with Project Coordinator to ensure daily production is met and daily schedule is created
Yard / Batch Plant Coordination:
- Communicate orders to batch plant personnel on a daily basis
- Collaborate with plant personnel and CAO to ensure plant/yard production meets business needs.
- Coordinate with plant personnel and mixer drivers for daily flowable material orders.
- Oversee and communicate to the CAO when street sweeping, yard clean-up, snow removal etc. are not meeting satisfactory expectations. ?
- Timely reporting with updates including progress or issues impacting production.
Communication:
- Utilize text threads to communicate with all necessary departments and personnel.
- Communicate with the operations team and field management regularly for project updates and assist with any issues that may arise.
- Communicate with the maintenance department for maintenance updates and schedules.
- Check emails periodically throughout the day and respond accordingly.
- Answer incoming calls throughout the day.
- Handle customer service issues and customer complaints as needed.
- Obtain customer information, set up estimates and send information to the sales team.
- Coordinate with other departments to ensure smooth workflow.
Documentation and Record Keeping:
- Maintain accurate records of dispatch activities, including job details, assignments, and completion status.
- Review material tickets to verify quantity, price, etc.
- Enter and maintain accurate records within the database.
- Prepare and submit regular reports on yard and dispatch operations.
Problem Solving:
- Address and resolve any scheduling conflicts or issues that may arise.
- Collaborate with operations to troubleshoot problems and provide support.
- Other Duties as Assigned
Work Experience Requirements:
- Proven experience in dispatching or logistics coordination.
- Familiarity with plumbing materials, tools, and equipment.
- Excellent organizational and time-management skills.
- Strong communication and interpersonal abilities.
- Knowledge of safety regulations and procedures.
Physical Requirements:
- Ability to safely and successfully perform the essential job functions consistent with ADA, FMLA and other federal, state and local standards, including meeting qualitive and/or quantitative productivity standards.
- Ability to maintain regular, punctual attendance consistent with the ADA, DMLA and other federal, state and local standards.
- Must be able to lift and carry up to 25 lbs.
