Position Summary

The Dispatcher will be responsible for supporting the service operations by providing outstanding customer relations by scheduling service technicians on a timely basis while keeping the customer informed of the status of the service technician's arrival. Additionally, perform a combination of accounting data input duties, service account payable reconciliation duties, accounts receivable collections and service support under the general supervision of the director of service. Duties may be for other service team members as directed. This position's role will involve a mixture of permanently assigned duties as well as other duties and tasks assigned on an as-needed basis.

Job Functions:

  • Receives, records, and distributes work orders to service technicians with day-to-day dispatching and scheduling

  • Provides after-hour support via 24 hour emergency line

  • Records information, such as name, address, equipment to be repaired or the services to be rendered

  • Prepares work order/tickets and distributes to technicians, schedules service calls and dispatches appropriate technician

  • Enters the day's time tickets for billing in addition to creating job folders for each call

  • Ensure monthly maintenance are completed on-time with a prioritization on “critical” accounts

  • Entry of Purchase Orders in support of field and dispatching as requested

  • Pulling customer history and/or equipment servicing for team as needed and requested

  • All other duties in support all service operations, dispatching in coordination with other departments

  • Requirements:

  • Work as part of our team to ensure customer satisfaction

  • Valid driver's license

  • Valid social security number

  • Must be able to pass drug test(s) as required by company

  • Lift up to 15 pounds; be able to push, pull, carry or maneuver heavier items (with additional manpower or appropriate devices); carry ladders; work from heights, work in small crawl spaces.

  • Observe all company procedures and safety rules

  • Maintain accurate time records and send to payroll when required

  • Neat, professional appearance

  • Proficiency utilizing Microsoft Office (Word, Excel, PowerPoint) software

  • Service industry experience and accounts receivable collection experience

  • English language fluency.

Preferred Requirements:

  • Five years administrative and clerical support experience

  • Proficiency with Computerease accounting software

  • Experience with a CRM database

  • Service industry experience
