Job Summary: The Document Scanning Clerk will assist with digitizing and organizing documents ensuring accuracy, accessibility, and integrity of data.
Essential Functions include but are not limited to: (Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions of this position.) - Move boxes to and from scanning location to include transport to the customer with a commercial van and internal transport with hand carts and dollies.
- Prepare documents accurately and efficiently for scanning including removing paper clips, staples, post-its etc.
- Reassemble documents and boxes to be returned to the customer, if applicable.
- Prepare documents for shredding, if applicable.
- Operate network high speed production scanning equipment to convert physical documents into digital format.
- Assist with Identifying, classifying and sorting documents.
- Assist with assembly of document batches and/or page volumes. Search out and add metadata to Acrobat PDF file and Excel spreadsheet.
- Follow quality control procedures to review completed work for accuracy; verify scanned documents are legible, accurate, and accurately transmitted.
- Ensure documents are titled appropriately, adhere to business guidelines, safety and security procedures to minimize rework.
- Ensure the confidentiality and security of sensitive information throughout the scanning process.
- Maintain scanning equipment to include cleaning, routine maintenance, and trouble-shooting.
- Collaborate with team members to maintain a productive and efficient workflow.
- Safeguard and maintain the integrity of digital files and databases.
- Completes assignments per instructions and checklists.
- QA review as assigned.
- Other duties as assigned.
Knowledge, Skills & Ability: - Previous clerical or office experience.
- Demonstrated knowledge of Acrobat and Excel.
- High attention to detail and accurately produced work product.
- Must have a valid driver's license and the ability to pass the insurability requirements of our commercial insurance carrier.
- Ability to pass a Government Clearance investigation.
- Must be able to lift up to 50 lbs.
- Ability to multi-task and adjust to changing situations with minimal interruption in work.
- Proven flexibility and adaptability in a dynamic working environment and ability to coordinate with multiple individuals concurrently to expedite progress.
- Strong computer skills with a working knowledge of Microsoft Office Suite.
- Strong oral and written communications skills and the ability to communicate effectively with all levels of the organization.
- Excellent interpersonal skills; must be able to work independently and interact effectively with all levels of the organization.
- Dependable attendance.
- U.S. Citizen or U.S. Person status.
Physical DemandsThe physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of the job. The incumbent is required to stand; walk; sit; use hands to finger, handle, or feel objects, tools, or controls; reach with hands and arms; talk and hear. The workload may require the incumbent to sit for extended periods of time, review information on a computer screen and be able to withstand repetitive motion (up to 10 hours a day with lunch and breaks). The incumbent must occasionally lift and/or move up to 50 lbs. Specific vision abilities required by the job include close vision, distance vision, color vision, depth perception, and the ability to adjust focus. Must have manual dexterity to operate computer keyboard and standard office equipment and ability to work in excess of a 40-hour week if necessary.
Office Location and TravelThis position is located in Warren, MI.Travel may be required.
