Overview:

SRI Education conducts rigorous and equitable research, delivers technical assistance, and develops tools and assessments to promote improved outcomes for children. Our mission is to reduce barriers, optimize outcomes, and ensure educational equity for all children, youth, and families. Our work includes preparation of proposals, reports, presentations, workshop materials, journal submissions, and other documents that require formatting and production. Our staff also need assistance with work-related purchases, travel, and scheduling of meetings, staff on-boarding and off-boarding, as well as timecards. SRI Education is seeking an Administrative Document Specialist to provide a wide variety of supports to the research staff in the Menlo Park, CA and Arlington, VA offices, as well as satellite offices, in collaboration with others on our Division Services team.

This position offers opportunities for growth, learning and career advancement through mentorship and training. This position will be housed in our Arlington office. This role will be primarily in-person in our Arlington office.

Responsibilities:

Job responsibilities include:

  • Using Microsoft Word, Excel, and PowerPoint, format reports, presentations, and proposals, including applying styles, creating a TOC, preparation of front and back matter, charts, tables, and graphics.
  • Assist in coordination of proposal, presentation, and report preparation process for professional staff (e.g., establishing a schedule, taking final responsibility for making editors corrections from rough drafts, working with production staff).
  • Facilitate and problem-solve matters related to SRI systems and supports such as procurement, travel, timecards, meeting space, office space, and virtual meetings.
  • Assist with monitoring and staff training in the use of corporate online systems and submit related forms including timecards, travel expense reports, bid and proposal applications, and purchase orders. Must ensure that all appropriate SRI policies and procedures are followed.
  • Schedule job candidate interviews and new hire on-boarding training.
  • Support staff onboarding, offboarding, and office set up.
  • Schedule and help set up in-person and virtual events and meetings.
  • Perform other routine administrative duties such as copying, scanning, faxing, and maintaining paper and electronic files for projects and proposals.
  • Grow professionally and develop new skills through ongoing embedded mentorship and professional development opportunities
Qualifications:

Qualifications

  • Bachelors degree; at least 4-6 years of experience directly related to the duties and responsibilities specified.
  • Capacity to support multiple tasks simultaneously and change focus as priorities shift through use of strong organizational skills.
  • Demonstrated ability to problem solve and ensure high quality through attention to details and requirements.
  • Ability to communicate clearly verbally and in writing.
  • Previous experience and demonstrated ability to work collaboratively.
  • Advanced knowledge of Word, Excel, PowerPoint, and Adobe Acrobat and the desire to learn new software skills.
  • Excellent customer service skills
  • A commitment to diversity, equity, and inclusion in the workplace.

Preferred Qualifications:

  • Experience in Adobe Creative Suites, SharePoint, and Smartsheet.
  • Experience in creating 508 compliance documents.
  • Experience working in a research based, or grant based organization, with familiarity in the proposal formatting requirements.
  • Success working in a team-based environment where team members support each other, as well as supporting the pool of co-workers in a division.

The salary range is: $70,884.00 - $79,578.00/annually. Salary ranges will vary and are based on several factors, including market competitiveness and equity amongst internal employees in similar roles. Positions may also qualify for SRI's Pay for Outstanding Performance program or the annual Performance Based Compensation program.
