EA/Office Manager - Boutique Hedge Fund Near Grand Central - $110k-$130k plus bonus

The Role: A boutique, successful hedge fund located near Grand Central is looking for an exceptional Executive Assistant/Office Manager to provide all-encompassing administrative support to the firm. The ideal candidate will possess a no job is too big or too small mindset.

We are seeking an experienced EA/Office Manager who has the skills and confidence to “own the role” and support a team of respectful, serious-minded professionals. This professional must be poised, polished and motivated. Experience in a finance company is a plus but not required.

Responsibilities:

  • Manage daily office operations, ensuring smooth functionality for a boutique team of ~20 employees.
  • Provide comprehensive administrative support to executives, including maintaining and coordinating active calendars and meetings.
  • Arrange domestic and international travel logistics in collaboration with a travel agent.
  • Prepare and process expense reports in compliance with firm policies.
  • Professionally handle incoming calls and emails, acting as a point of contact for the firm.
  • Liaise with vendors, building management, and engineers to address operational needs.
  • Coordinate and compile materials for the firm's annual compliance review.
  • Oversee proxy voting processes, including soliciting and casting votes and maintaining accurate records.
  • Manage multiple priorities and projects with efficiency, ensuring timely follow-through and resolution.

Requirements:

  • Bachelor's degree with 5+ years experience in an administrative role, preferably in financial services.
  • Team player with the ability to collaborate, communicate, and coordinate with internal team members and third-party vendors.
  • Exceptional time management and organizational skills with the ability to address high priorities and emergencies outside of typical office hours.
  • Proficient in MS Office, including Word, Excel, and PowerPoint.
  • Superb written and verbal communication skills.

Compensation: $110,000 - $130,000 plus bonus, extraordinary benefits and perks.

The above salary range represents Advice's good faith and reasonable estimate of the possible base compensation range at the time of posting and is not reflective of the total compensation package, which may also include benefits, equity and other non-cash incentives.
