Check out what it's like to work with us at healthykidsprograms.com/workwithus.We are looking for a passionate Early Learning Family Coordinator who will play a key role in ensuring a smooth, efficient, and welcoming experience for families enrolling their children in our early childhood learning programs. This position is responsible for managing the registration process, coordinating subsidy programs, and acting as a liaison between families and external agencies such as the Department of Social Services (DSS). The ideal candidate will have excellent organizational skills, attention to detail, and a passion for helping families access quality childcare services.Training for this position will be done in our headquarters in New Windsor, NY before transitioning to Fishkill, NY. PAY: $19-$20 per hourSCHEDULE: Monday-Friday 9am-5pmJOB STATUS: Full-time, non-exemptKey Responsibilities:Registration Management
  • Oversee the complete registration process for new and returning families, ensuring all required documentation is collected and up-to-date.
  • Communicate with families to assist with registration inquiries and provide information about program offerings.
  • Maintain an organized, accurate, and confidential registration database for all enrolled children.
  • Collaborate with program staff to ensure that child records and family information are current and accessible.
Subsidy Coordination:
  • Serve as the primary point of contact for families receiving or applying for child care subsidies (e.g., DSS, OCFS).
  • Assist families in the completion of subsidy applications, ensuring all required documentation is submitted on time.
  • Coordinate with local Department of Social Services and other agencies to monitor subsidy eligibility, approval, and payment status.
  • Track and manage family subsidy cases, ensuring accurate and timely billing and fee adjustments.
  • Provide families with guidance on subsidy requirements and deadlines, including recertification reminders and necessary follow-ups.
  • Collaborate with the finance department to manage billing, parent share payments, and tuition adjustments for subsidy families.
Family Support:
  • Build positive relationships with families, providing clear communication on registration and subsidy requirements.
  • Help resolve inquiries related to payments and program details.
Compliance & Reporting:
  • Ensure accurate record-keeping and compliance with regulations. Provide reports on registration and
  • Ensure compliance with state and federal regulations regarding child care subsidies and record-keeping.
  • Regularly audit and update records to ensure accuracy and compliance.
  • Provide reports on registration trends, subsidy usage, and other key metrics.
RequirementsEDUCATION AND EXPERIENCE:
  • High School diploma or the equivalent
  • Proven customer support experience
  • Strong phone contact handling skills and active listening
  • Customer orientation and ability to adapt/respond to different types of characters
  • Excellent communication and presentation skills
  • Ability to multi-task, prioritize, and manage time effectively
  • Strong attention to detail and accuracy
  • Strong data entry skills
  • Ability to read and communicate effectively in English
  • Must demonstrate the willingness to work in a team environment and be a team player
  • Possesses the ability to adjust to changing workflows and processes
  • Ability to work with limited supervision & still be productive, timely, and accurate
