NATURE OF WORK: The Events and Activities Coordinator plans and implements program activities and events for the Elders Programs.

DUTIES AND RESPONSIBILITIES:

* Coordinate safe and healthy events, educational and cultural field trips, workshops, trainings, and other social and recreational activities for program participants.

* Plan and arrange events and activities on own initiative and prioritize workload to meet set deadlines.

Arrange for location/room setup and tear down.

* Advertise events and activities by creating flyers, posters and calendars; notify program participants and staff of upcoming travel, events, and activities.

* Design, select, utilize, and evaluate educational approaches_ for activities and materials that are most effective in meeting the cultural, sociological, and psychological needs of the service population.

Participate in the development of health education content for information and educational materials for program use.

* Coordinate with program staff to develop itineraries and agendas and provide accurate information to participants and staff.

* Coordinate with program staff to create and implement an annual plan of activities, travel, and events.

Document the number of participants that attend the activities, travel and events for future planning needs and reporting.

* Coordinate transportation and make complex travel arrangements for participants and staff to attend activities, travel and events; travel and attend events and activities with elders as needed.

Maintain and reconcile budgets for program events and activities and monitor

expenditures.

* Make recommendations for payments and purchases; prepare requisitions and check request for activities and events.

* Draft contracts for programs events and activities.

* Perform other duties as assigned

KNOWLEDGE, SKILLS AND ABILITIES:

* Knowledge of standard office practices and procedures.

* Knowledge of effective advertising methods for activity and event planning.

* Knowledge of event and activity planning methods.

* Skill in telephone etiquette and courteous communication with public.

* Skill in composing letters, flyers, posters calendars, and brochures.

* Skill in the operation of a variety of office machines including, personal computers, telephones and copiers.

* Ability to maintain records and reports for evaluation of activities and reporting progress.

* Ability to maintain a positive working relationship with the service population, community and other employees.

* Ability to work with staff and others to meet the needs of service population and the program

* Ability to travel with Elders when coordinating transportation and making complex travel arrangements for activities, travel, and events.

* Ability to work with minimal supervision

MINIMUM QUALIFICATIONS:

* High School Diploma or GED equivalent.

* 3 years' experience working with in an Elders program or another similar program OR a comparable amount of experience and/or education.

* Must be able to travel with Elders as needed with short notice for long periods of times.

* Must have current Food Handlers Permit, CPR & First Aid Certification or the ability to obtain within 30 days of hire.

* Must have a valid driver's license and be insurable under the Tribe's insurance policy .
