Position Type: Secretarial/Clerical/Secretary - 12-MonthsDate Posted: 12/11/2024Location: Carrollton Elementary SchoolDate Available: 2024-25 School YearDistrict: Carrollton Public SchoolsEMPLOYMENT OPPORTUNITY Full Year Secretary Carrollton Elementary School Available for the 2024-2025 School year SUMMARY OF THE POSITION: Seeking an individual to help facilitate all office processes, including reception, customer service, data/word processing, pupil accounting, student enrollment, record-keeping, general office, and other secretarial functions. REPORTS TO: Lisa Morford - Principal COMPENSATION: This position is paid hourly and includes health and other benefits plus paid holidays as outlined in the Carrollton Secretarial Association agreement. It is forty hours per week and a year-round position. QUALIFICATIONS:
  • Shall be of good character with high moral and ethical values.
  • High School graduate or GED equivalency
  • Experience with the student data software Skyward preferred.
  • Demonstrate experience in a professional work setting. Some college is preferred.
  • Experience working with elementary students in a public school district is preferred.
  • Ability to work as part of a team, make sound decisions, handle pressure well, and behave with students in an assertive yet caring fashion.
  • Have a patient approach to problem-solving and a calm, perceptive attitude.
  • Communication skills will include listening, written, and verbal aptitudes.
  • Display professional appearance and excellent customer service skills and produce neat and accurate work.
  • Comprehensive knowledge of office practices and clerical methods; detail-oriented. Ability to take the initiative and work efficiently and productively in a busy office setting.
  • Demonstrate computer skills, including experience with Microsoft Office, Google Docs, the internet, and accuracy in keyboarding skills. Experience with data systems is required, preferably with pupil accounting software.
  • Must be a self-starter who takes the initiative and is willing to multitask and be flexible.
  • Must be, or have the ability to become, knowledgeable about pupil accounting and school-related information issues, rules, procedures, grants, etc.
  • Shall possess a valid driver's license.
  • Must receive a satisfactory response to Public Act 189 letter (Misconduct Law).
  • Must satisfactorily pass:
  • Law enforcement background checks with fingerprinting.
  • Personal and professional reference background check.
  • POSITION RESPONSIBILITIES:
  • Answer phones, interact with students and parents, and assist customers in a friendly manner.
  • General office: filing, copying, typing, e-mail, supply ordering, mail, student lunch orders, inventory.
  • Input and check data in multiple data systems; analyze and run reports; prepare count day materials and reports; track and input attendance, discipline and immunization data, transcripts, drop/add, and other pupil records and reporting.
  • Education accounting and reporting.
  • Record, keep budget details, and process purchase order requisitions.
  • Assist with building security, facilities, and student supervision, including monitoring and maintaining secure buildings and grounds.
  • Serve as Secretary to the principal and assist the principal with various projects, including grant writing, student handbook update, master class schedule, development of school calendar, etc.
  • Provide support to teachers and other staff.
  • Help supervise building security when the principal is out of the building.
  • Perform various other duties as described in the position description.
  • Perform additional duties as assigned.
  • Knowledge of Michigan Department of Education sites such as MEIS, MSDS, MICR, CEPI, GAD, and BAA Secure Site.
  • Knowledge of computer skills in Microsoft Office and Google Docs.
