Salary: $32,240.00 AnnuallyLocation : Lake City, FLJob Type: Full-timeJob Number: 202400014Division: Human ResourcesOpening Date: 01/23/2025Closing Date: 2/6/2025 11:59 PM Eastern DescriptionThis is independent, semi-professional work responsible for carrying out technical personnel staff assignments under the general direction of the Executive Director of Human Resources. This position provides assistance to the Executive Director of Human Resources in employment functions including processing position vacancies, general employment paperwork for new employees, job descriptions, processing evaluations, and serves as back up for processing fingerprints and background checks for new hires. An employee in a position allocated to this class routinely handles confidential information and must perform duties which include exercising independent judgement and discretion.This position has full access to Protected Health Information (PHI). Advertise job positions externally in newspapers, magazines, and on websites when requested by hiring departments.Maintain job descriptions for all positions. Request updates as needed.Responsible for keeping records and preparing budget amendments, requisitions, and travel as necessary. Assists in the preparation of operating budgets.Responsible for initiating payroll and input of leave used by department employees.Responsible for keeping an inventory of supplies and ordering supplies when needed.Prepare Board of Trustees personnel agenda for Executive Director's review.Answer questions about open positions by phone and email, including HR emails.Post positions and maintain information on website of online application system.Work with IT and Public Relations Department on upgrades to online application system and maintenance of system.Assists the Executive Director of Human Resources in responding to requests for college staff regarding personnel policies and procedures related to recruitment and status of advertised positions.Answers the telephone provides information ,takes messages and/or directs calls to appropriate personnel.Gives and receives information requiring independent judgment in the absence of the Executive Director.Updates Human Resources web pages and links.Assist Executive Director with routine and special department projects, i.e. statistical and financial analysis, research, data compilation, report preparation.Determines records retention/destruction actions.(These essential job functions are not to be construed as a complete statement of all duties performed. Minimum Qualifications KNOWLEDGE, ABILITIES AND SKILLS:Knowledge of personnel related issues; federal and state rules and regulations pertaining to employment practices. Knowledge of methods used in compiling statistical reports. Proficient level knowledge of Microsoft Office including Word and Excel. Skill in developing and maintaining cooperative and courteous relationships with college staff, students, representatives from organizations, and the public. Skill in tactfully and effectively handling requests, suggestions and complaints. Skill in exercising analytical judgment; identifying problems or situations as they occur; skills in identifying alternative solutions to problems or situations. Ability to write reports with proper format, punctuation, spelling, and grammar, using all parts of speech. Ability to assemble information and make written reports and documents in a concise, clear, and effective manner. Ability to make independent judgments in absence of supervision, to acquire knowledge of topics related to the position of Employment Specialist. Ability to record and deliver information to college management and staff; to explain procedures and policies and to follow verbal and written instructions, guidelines, and objectives. Ability to utilize mathematical formulas. Ability to plan, organize and coordinate work assignments.EDUCATION AND EXPERIENCE:High school graduate plus four years of Human Resources or related area experience. Additional education may be substituted on a year for year basis for required experience in related area. Special consideration given to applicants with Associates degree in related area.ESSENTIALPHYSICAL SKILLS:Acceptable eyesight (with or without correction). Acceptable hearing (with or without hearing aid).
