The Indiana Sports Corp has been and will continue to be a bedrock civic organization uponwhich the city of Indianapolis and the state of Indiana can continue to grow and flourish.Location:Indianapolis IndianaPosition Duration:November 2024 - August 1, 2025Position Overview The Engagement Assistant is a full-time non-exempt position with an end date of August 1, 2025.The Engagement Assistant will assist with a variety of tasks related to Indiana Sports Corp's engagement strategy, including the volunteer program, stakeholder engagement, and event coordination.This position will report to the Volunteer Manager.General Responsibilities (includes but not limited to):Engagement
  • Assist with community and fan experience program development and implementation associated with hosted events.
  • Assist with engagement events for volunteers, corporate members, individual donors, and more.
  • Provide support for events that Indiana Sports Corp is hosting within the timeframe, including WWE Royal Rumble, Big Ten Basketball Tournaments, NCAA Championships, Indiana Sports Corp Charity Golf Tournament, Corporate Challenge, WNBA All-Star, and more!
Volunteer Registration
  • Update existing email templates to share specific information with volunteers for each event, including confirmations, reminders, and packet pickup information.
  • Input and publish shift opportunities for all events.
  • Maintain volunteer registration platform and data.
  • Pull reports to consolidate data for communication projects, tracking, and volunteer updates.
Volunteer Operations
  • Assist with developing training materials for volunteers.
  • Support volunteer reporting, registration, and training.
  • Coordinate onsite parking, hospitality, apparel, check-in, deployment, and troubleshooting.
Communications
  • Maintain the Indiana Sports Corp Volunteer and Corporate Challenge email accounts and provide excellent customer service.
  • Troubleshoot volunteer and Rosterfy account needs.
  • Update post-event surveys.
  • Outline monthly newsletter content.
  • Assist with individual donor communication and fulfillment.
Recruitment
  • Support individual Indiana Sports Corp event leads with gathering volunteer needs and shift information.
  • Complete outreach to existing and new groups as part of the recruitment effort.
  • Assist with third-party volunteer requests.
  • Assist with managing the 2023-2024 volunteer recruitment calendar.
  • Assist with onsite recruitment activities, as needed.
Qualifications
  • 1-3 years of experience in volunteer or event coordination.
  • Comfortable working with registration systems, CRMs, and Microsoft Excel spreadsheets.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple projects simultaneously.
  • Bachelor's degree required.
Additional Requirements
  • Available to work a minimum of 30 hours per week.
  • Available to work additional hours during events.
