JOB SUMMARY: The Enrichment Programs Specialist supports the Manager Enrichment Program in overseeing and coordinating the Enrichment Program for Oceania Cruises and Regent Seven Seas Cruises. This role involves meticulous attention to program details and logistics coordination to ensure the smooth and efficient execution of various programs. The Enrichment Program Specialist plays a pivotal role in maintaining effective communication and collaboration with both internal and external organization and individuals to facilitate seamless program delivery.

DUTIES & RESPONSIBILITIES:

  • Cultivates professional relationships with various stakeholders, ensuring open and effective communication.
  • Process, secure, and organize agreements and documentation in compliance with NCLH privacy policies.
  • Process, secure, and organize documents in appropriate application folders (BOX, Monday.com, MS Excel), ensuring distribution as needed to shoreside and shipboard partners. Conducts thorough proofreading and editing to align with the specific standards of each brand.
  • Coordinates travel logistics, adhering to budget and contract requirements; updates ships and other stakeholders on changes.
  • Maintain all information and process up to date, secure, accessible to the stakeholders.
  • Stays informed about global travel requirements (Visa, inoculation, passport) and shares relevant information to stakeholders.
  • Assists with vendor set-up, invoice and reimbursement tracking, submissions, and approval. Submits and codes invoices for approval and processing by the Enrichments Program Manager.
  • Handles the data collection of program materials (i.e., library books, onboard movies, art class supplies, etc.) and ensuring on time delivery to the ship.
  • Conducts onboard site visit to ensure program quality and foster relationships with onboard partners and presenters.
  • Proactively offers ideas that increase efficiency and effectiveness regarding documentation organization and logistics processing.
  • Performs other assigned job-related duties and responsibilities.

QUALIFICATIONS

DEGREE TYPE: Associate's Degree

FIELD(S) OF STUDY: Business, Entertainment, Hospitality

EXPERIENCE:

  • Minimum of 2 years in an administrative role supporting a team of management and staff members. Experience in cruise industry and/or enrichment/entertainment background preferred.

COMPETENCIES/SKILLS:

  • Must possess a high degree of organizational skills and be capable of performing multiple tasks in a fast-paced environment.
  • Demonstrates a strong sense of discretion when sharing documents to both internal and external partners.
  • Must be able to handle and maintain confidential information.
  • Attention to detail.
  • Critical and organized thinking.
  • Must have excellent oral and written communication skills to effectively communicate with internal and external contacts. Fluency in other languages a plus.
  • Ability to solve problems quickly while maintaining customer focus. Proficiency in Microsoft Office (Word, Excel, PowerPoint and Outlook) is required. Proficiency in Monday.com and other collaboration application a plus.
  • Must have the ability to work well in a fast paced, deadline driven environment.
