About this position

The enrollment assistant is responsible for assisting with the delivery of enrollment services to families in the organization's center-based programs.

The successful candidate must be able to communicate effectively, work both independently and collaboratively within a small, close-knit team, and thrive in a fast-paced environment. We are looking for someone with an upbeat, positive attitude who is eager to support the organization's mission and achieve its strategic goals.

What you'll be doing

  • Maintaining knowledge of all current requirements for families receiving subsidized services in accordance with the Education Code, the California Department of Education's Title 5 regulations and funding terms and conditions, Community Care Licensing Title 22 regulations and administrative requirements, and Head Start performance standards;
  • Assisting with processing enrollment documentation and following up with families for enrollment completion;
  • Assisting with scheduling parents for in-person or virtual enrollment or recertification appointments;
  • Accurately completing required monthly and weekly reports in a timely manner;
  • Processing family fees and reconciliation of fee balances for disenrolled families;
  • Collaborating with education staff in matters related to enrollment, attendance, meals, and parent communication;
  • Reviewing and completing attendance reports and reconciling meal count reports on assigned caseload;
  • Providing general clerical support to department staff;
  • Assisting with inbound calls and inquiries from families seeking services, conducting a pre-screening, and providing a warm hand-off to the appropriate programs;
  • Assisting in determining eligibility for programs based on information provided by potential parents with respect to parent choice;
  • Assisting the enrollment supervisor and enrollment services director;
  • Actively participating in all training provided by the department and organization;
  • Building strong rapport with enrolled families, new families, and external social services agency personnel;
  • Bringing a team-oriented, collaborative, and positive attitude to the Enrollment Services Department;
  • Reading and implementing all organization and program policies and procedures;
  • Accurately completing all assigned paperwork and documentation on a timely basis, according to organization policies and procedures;
  • Actively participating in the annual in-service training;
  • Performing other duties as assigned.

What you bring to the table

  • Computer skills, including a command of Excel and other Microsoft 365 applications;
  • General clerical and data entry experience;
  • Ability to type 40 words per minute with minimal errors;
  • Experience and/or training in state and federally funded children's programs, with particular focus on eligibility and need requirements (preferred);
  • Strong attention to detail and effective organizational skills;
  • Ability to correctly and effectively communicate in written and oral English;
  • Skilled at actively engaging with clients while also accurately documenting information into the intake system (preferred);
  • Exceptional interpersonal skills with sensitivity to the unique needs of families and children, including those with special needs or who are at risk;
  • Ability to adapt to changing demands and workload;
  • Experience working with diverse, low-income populations;
  • Bilingual in Spanish or Mandarin (preferred).

Job specifications

  • Reports to the enrollment supervisor
  • Non-exempt, full-time, 12-month work year;
  • Eight-hour workday, four-day workweek (Fridays closed);
  • Hybrid work schedule with approval by management;
  • Limited evening or weekend hours may be required;
  • Employment, responsibilities, compensation and other factors may be affected by changes in governmental regulations, the organization's contracts, or at organization's discretion.

Salary

  • $23.50 - $28.00 per hour
