Thank you for your interest in working at William Paterson University.The Program Assistant Administrative Services provides advanced and diversified administrative support services to the Executive Director of the Educational Opportunity Fund Program and Academic Achievement and the EOF staff as assigned. This position serves as the first line of contact for addressing students' academic concerns as it relates to the functions of the office. The incumbent supports campus, summer program, and university wide initiatives.Principal Responsibilities:
  • Coordinates all technical aspects of academic programs and counseling activities (i.e., evaluations and attendance tracking).
  • Coordinates office recruitment activities, including confirmation of scheduled interviews, applicant communications, onsite HS visits, all on and off-campus admissions programs, open houses, and counseling outreach.
  • Works with parents and applicants to assist them in completing the financial component of the EOF admissions process; works with external community members such as school counselors and nonprofit agencies.
  • Provides administrative and logistical assistance with organizing academic summer program components, counseling areas, and academic scheduling.
  • Assists in the training and oversight of student workers and volunteers.
  • Monitors and input retention data outcomes for EOF and advisement center KPIs.
  • Assists in preparing EOF Admissions and retention reports and academic outcomes; prepares related charts; performs basic data analysis to inform the preparation of various reports.
  • Compiles materials for departmental publications; EOF annual report.
  • Assist with the administration of the OSHE grants roster.
  • Maintains the department(s) webpage, social media, and all other web-related activities supporting departmental goals.
  • Assist with administrative aspects of day-to-day operations (i.e., input of financial expenditures, requisitions, room reservations, coordinating food service requests, and managing student traffic within the office.
  • Monitors budget for multiple units under the supervision of the Executive Director and assists with OSHE expenditure reports.
  • Assists other units and functions under the Academic Achievement umbrella as needed.
  • Attends and participates in meetings, sessions, and other department-related events.
  • Performs other duties as assigned that are appropriate for the position.
Required Qualifications:
  • Graduation from an accredited college or university with a bachelor's degree.
  • NOTE: Applicants who do not possess the required education may substitute experience on a year-for-year basis.
  • A minimum of 2 years of experience in a complex academic or corporate administrative environment, which includes experience with data tracking, technical reports, and administrative record keeping.
  • Demonstrated ability to effectively prioritize workload, manage time efficiently, work independently, exercise sound judgment, and be attentive to details in a fast-paced environment.
  • Must possess excellent interpersonal, oral, and written communication skills and the ability to interact effectively with individuals from diverse communities and cultures, including students, faculty, staff, and external constituents.
  • Demonstrated ability to work efficiently in a fast-paced environment with heavy student traffic and limited supervision.
  • Proficiency in using Microsoft Office Word, Excel, PowerPoint, and Outlook.
  • Knowledge of Office 365, Desktop Publishing, Ellucian Banner, Workday, and familiarity with web/social media platforms preferred.
  • Experience with compiling data reports and tracking, web design, publications, and web-related activities is strongly preferred.
  • Experience with the EOF Admissions and Recruitment or grant-related process and some knowledge of state grant systems are preferred.
  • Must be able to work occasional weekends and evenings as required.
